We are seeking a motivated and organized individual to manage our office operations and support HR functions. If you thrive in a fast-paced environment and enjoy multitasking, this role is ideal for you!

Key Responsibilities :

The Office Manager will oversee administrative, financial, and accounting management of the German office. Additionally, they will supervise human resources and facilities management, and handle customer and internal requests. The Office Manager is a key partner across all company departments.

Administration
  • Office Supplies & Facility Management: Ensure the office is well-stocked and maintained, managing orders and overseeing facility needs.
  • General Administration: Support smooth office operations, manage the postbox, and maintain document archives.
  • Event Planning: Organize and execute internal events and group travel arrangements.
Finance & Accounting
  • Accounting: Manage invoicing for suppliers and customers, bank transactions, and credit collection.
  • Monthly Closing: Ensure smooth monthly financial closing processes.
  • Customer & Suppliers Demands: Respond promptly to customer emails and supplier requests.
  • Credit Card Expenses: Collect invoices and manage related tasks.
Human Resources

Coordinate with the HR department at the Paris headquarters.

  • Payroll Management: Oversee payroll variables and ensure timely salary payments.
  • Onboarding & Offboarding: Participate in employee onboarding and offboarding processes.
  • HR Administration: Handle declarations and other HR administrative tasks.
Qualifications :
  • Proven experience in office management, administration, finance, or HR coordination.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in software such as Word, Excel, and Google Workspace.
  • Fluent in German and English.
