Functions
Operational / Specialized
- Audit the financial procedures and financial documents of the missions, verify the attached documents to ensure correctness from an accounting perspective, and ensure proper entry into the financial accounting system following procedures, policies, and standards.
- Conduct controls on capital expenditure (fixed assets), follow up on petty cash advances, ensure their entry into the financial system, audit disbursement procedures, and prepare related reports.
- Follow up and scrutinize financial settlements and tax collection procedures with state missions abroad within the sector's geographical scope.
- Monitor and audit the implementation of diplomatic missions' payroll procedures for local employees within the department's geographical area according to approved policies.
- Monitor and audit all financial flows of the missions and revenues, including consular revenues, ensure deposits in banks, perform reconciliations, and submit periodic financial reports.
- Participate in responding to the Audit Bureau's reports regarding the department as per approved principles.
- Identify and follow up on claims of foreign entities payable, coordinate with representative missions abroad within the sector's scope, ensure payments, inform the department of transfers, and prepare relevant reports.
- Monitor the bank accounts of representative missions outside the country within the sector's scope and conduct unexpected inventories of the missions' financial covenants.
- Coordinate with the Consular Services Department, provide data and proposals to develop revenue programs, and prepare special reports.
- Save the banks' revenue reports and monthly e-Dirham reports sent by the Ministry of Finance in shared files according to policies and procedures.
- Prepare reports on mission expenses, submit proposals, and studies to rationalize spending based on approved principles.
- Perform any tasks requested by the supervisor related to the nature of the work.
General Operational
- Provide support and assistance to other organizational units in the Ministry on job-related matters.
- Participate in programs or changes in the Ministry, including strategic and operational initiatives, and undertake related work as part of the job and employment contract.
- Contribute to activities ensuring business continuity in the absence of colleagues.
- Ensure health and safety in the work environment and promote the rationalization and sustainability of resources.
- Provide creative ideas to improve the work environment and optimize procedures.
- Transfer practical knowledge to colleagues and contribute to organizational knowledge management.
