We are seeking a professional, reliable Receptionist to be the welcoming face and organizational backbone of our Munich office. You will ensure that visitors, guests, and team members experience a smooth, friendly, and efficient office environment daily. This role primarily involves front desk duties, facilities management, and basic office support, with some involvement in event planning, executive administration, or travel arrangements.

What You’ll Do
  1. Greet and assist all visitors, guests, and vendors with warmth and professionalism.
  2. Manage incoming calls and emails.
  3. Maintain the reception area and communal spaces to be tidy, organized, and inviting.
  4. Receive, sort, and distribute mail and deliveries.
  5. Conduct daily checks and resets of meeting rooms to ensure readiness for use.
  6. Monitor and replenish office and kitchen supplies.
  7. Report facility issues and coordinate with cleaning staff and vendors as needed.
  8. Prepare workspaces and access for new hires, including desk setup, keycard issuance, and welcome procedures.
  9. Support ad hoc office tasks such as event management, executive support, or project administration.
  10. Previous experience as a receptionist, office coordinator, or in a customer-facing role.
  11. Friendly, professional communication skills in German and English.
  12. Strong organizational skills and attention to detail.
  13. Reliability, punctuality, and a proactive, service-oriented attitude.
  14. Ability to multitask and remain composed in a busy environment.
