Job Description:

A Japanese trading company seeks a Secretary & Administrator at their office in Amsterdam.

The position-holder will work closely with and assist in the day-to-day activities of the CEO. Additionally, will support the other Administration departments in the Amsterdam office and support the other expatriates.

Fluent English and Dutch are required. Understanding of Japanese culture and some Japanese skills will be advantageous.

TYPE: Fixed Term Contract, full-time

WORKING HOURS: 9:00-17:30

SALARY: up to €40k + benefits, depending on experience

START: ASAP

LOCATION: Amsterdam (Hybrid *TBC)

Responsibilities:
  • PA to the CEO: Arranging all aspects of the CEO’s business trips including flights, transfers, hotels, and consular arrangements.
  • Preparing all aspects of the CEO’s internal and external appointments.
  • Arranging claims of CEO’s expenses and processing related slips, debit notes, etc.
  • Managing the CEO’s personal income tax return at Deloitte.
  • Looking after the CEO’s residence.
  • Handling the CEO’s mail and related documents.
  • Reception of the CEO’s customers.

Administrator responsibilities include inputting booking data, supporting expatriates with benefits, handling office facilities, managing office supplies, and overseeing daily post and logistics.

Personal Skills and Qualifications:
  • Fluent English and Dutch; Japanese is a bonus.
  • Good IT skills (Word, Excel, PowerPoint).
  • Secretarial experience in the Netherlands preferred.
  • Experience in a Japanese business environment advantageous.
  • Excellent communication skills.
  • Flexible, enthusiastic, culturally adaptable, self-motivated, proactive, and autonomous.
