Your mission
Summary
Are you a dynamic professional with a knack for organization, a flair for building relationships, and a passion for communication? We’re looking for an Executive Assistant to work closely with our founder in shaping the future of our design studio. In this unique role, you’ll support client development, manage PR and marketing efforts, and handle executive and personal assistant tasks.

As our Executive Assistant, you will:
1. Client Development
- Be the first point of contact for new business inquiries, guiding international clients from first contact to project inception.
- Coordinate RFIs and RFPs with internal teams, ensuring timely responses.
- Manage our CRM system to oversee client and supplier relations and track opportunities.
- Conduct market research and competitor analysis to inform strategic decisions.
- Develop presentations and executive summaries for clients and management.
- Represent the studio at industry events and conferences, expanding our professional network.
2. PR & Marketing
- Plan and execute social media strategies aligned with our brand vision.
- Create engaging content across platforms like LinkedIn and Instagram.
- Engage with our online community, respond to inquiries, and foster relationships with influencers.
- Identify and apply for relevant industry awards.
- Assist in PR activities such as creating press kits, writing press releases, and maintaining media relationships.
- Coordinate studio participation in industry events and speaking opportunities.
- Analyze campaign success and optimize strategies based on data insights.
3. Executive and Personal Assistant Support
- Manage the founder’s schedule, appointments, and travel arrangements.
- Prepare presentations and reports for meetings.
- Handle correspondence and communication on behalf of the founder.
- Anticipate administrative needs and proactively provide solutions.
- Support personal tasks, such as event planning and gift coordination.
Your profile
- Have 3+ years of relevant experience, preferably in the creative industry.
- Fluent in English; German skills are a plus.
- Excellent organizational and multitasking skills with attention to detail.
- Tech-savvy, experienced with CRM, social media, and MS Office.
- Proactive, resourceful, and solutions-oriented.
- Strong communication and interpersonal skills.
- Comfortable in a fast-paced environment handling confidential information.
