Job Description:

Summary: Yorktown Systems Group, Inc. (YSG) is seeking a qualified Human Resources Management Specialist to support the Joint Force Training Centre (JFTC) located in Bydgoszcz, Poland, to conduct pre-deployment training activities for current theatres of operations and other exercises and training events (TEs) as assigned by NATO’s Allied Command Transformation (ACT). The incumbent will be responsible for providing principal assistance for the proper conduct of employment life-cycle management activities for all categories of civilian personnel employed, both within and beyond PE ceiling, including workforce (Project Linked NATO Civilians) employed to support the JFTC’s NATO in all supported organizations under HR management responsibility of JFTC HRM Branch. Specific duties may include, but are not limited to:

  • Manage the preparation, conduct, and administration of the complete recruitment process for all civilian personnel categories, including NATO Project Linked NICs, from vacancy identification to candidate selection and onboarding.
  • Assist the HRM Branch with collection of NATO workforce requirements and support NATO initiatives.
  • Compile and maintain personnel files and operate HR Data Systems such as APMS, HRDS Absence Management System, and NATO Performance Management System (NPMS), including data entry, reporting, and validation.
  • Manage employment processes for civilian personnel, including payroll, pay, and budget administration.
  • Coordinate security clearance processes and medical examinations for civilian personnel, and follow-up on sick leave cases.
  • Administer leave, attendance, overtime, and compensatory time off records.
  • Coordinate probation and employment contract renewals in accordance with policies.
  • Maintain HR suspense systems for timely personnel administration.
  • Assist in personnel administration including onboarding and offboarding processes.
  • Coordinate deployment preparations for NICs, including pre-deployment training, medical, and family support.
  • Coordinate with Occupational Health and Safety regarding LWR Employees.
  • Participate in workforce reviews and surveys to ensure organizational effectiveness.
  • Participate in meetings on payroll, allowances, pensions, and personnel management systems.
  • Perform other employment lifecycle management activities as needed.
