Jobbeschreibung

The Supply Chain Specialist is responsible for the end-to-end procurement and supply of ship spare parts and marine services in accordance with UOS procurement procedures. This role involves managing sourcing activities, issuing purchase orders, and coordinating global logistics and freight forwarding to ensure timely delivery of materials to vessels. The position requires close collaboration with Vessel Managers, Offshore Crews, third-party vendors, and service providers to meet operational needs effectively.

The Supply Chain Specialist reports directly to the Supply Chain Manager and plays a key role in supporting vessel operations through efficient supply chain execution and vendor management.

Job location for this role: Leer, Germany / Aberdeen, UK.

Responsibilities

•Work to approved UOS procurement procedures & systems in accordance with UOS Code of Conduct

•Proactively & efficiently manage the UOS procurement process within Bassnet system, achieving the targeted KPI metrics.

•Identify & manage potential and approved suppliers in line with UOS procurement procedures.

•Issuing of RFQs, commercial negotiations, recommendation and final award of purchase orders.

•Negotiation of optimum freight and customs clearance costs. Obtain the very best commercial and economic position for the business, ensuring optimal quality, consideration of priority and managing any risk accordingly.

•Maintain regular vendor communication and manage vendor relationships effectively, including regular documented meetings and site visits.

•Liaise with marine & quality teams to ensure the goods meet our specifications, throughout RFQ & purchase order development.

•Support internal clients such as Vessel Teams, Offshore crews, operations and project teams with performance of the assigned supply chain activities.

•Communication with Vessel Managers and for keeping Ship's Captains and Chief engineers updated as to progress with requisitions.

•Proactively expedite PO’s with 3rd party vendors to ensure on time delivery inline with PO terms and delivery schedules.

•Liaison with the Company's Port Agents and Customs agents. Work with 3rd party logistics agencies to ensure receipt, consolidation and freight forwarding of all materials to UOS vessels globally.

•Ensure all freight forwarding and material movements are arranged efficiently & compliantly, whilst ensuring best commercial position for the business.

•Ensure all 3rd party invoices are processed on time and in line with contracted payment terms

Highlight all discrepancies in procurement processes, identify related risks and propose actions to minimize such risk.

• Updating data into the Company's systems and maintaining relevant records

Qualifications

•Supply chain or commercial degree qualified, relevant working experience will be considered.

•1-2 years' experience in a related field within an international shipping company (Desirable)

•Knowledge and experience of Shipping / Energy industries and associated supply chains.

•Experienced and confident in handling negotiations on price, quality and contractual terms with suppliers and service companies

•Team orientated with good organizational and communication skills.

•High level of numeracy is required, together with the ability to work accurately and on occasions to strict deadlines.

•Ability to work independently and on own initiative.

•Experienced with Purchasing or Supply Chain Management database software.

•Fluent in English. German is desirable.
