After extensive training, you will take over the following tasks:
  1. Provide administration support (organize MD's travel expenses, visitors overview, upkeep of office equipment, printing calendars/diaries, etc.)
  2. Work in an international team: cooperation and communication (via phone and email) with customers, suppliers, visitors, sales managers, and the German headquarters
  3. Organize complex travel, accommodation, and transport arrangements, including establishing corporate accounts
  4. Responsible for organizing meetings, conferences, and team bonding events, including preparation of minutes
  5. Support in organizing exhibitions
  6. Handle logistics tasks (prepare commercial invoices, packing, order dry ice, arrange shipment)
  7. Provide sales support, e.g., data entry, research, presentations, and handling orders
  8. Assist with internal sales support, e.g., raising purchase orders, quotations, invoices, and credit notes
  9. Offer IT support, e.g., inventory management, coordinating with HQ (sourcing parts, monitoring installed systems)
  10. Support HR processes (onboarding and offboarding), e.g., setting up laptops with necessary software/access, collecting copies of NRIC, coordinating in-house training
  11. Require at least 4 to 5 years of experience as a personal assistant or administration manager
  12. Diploma or degree in business studies, administration, management, or equivalent
  13. Maintain a high level of confidentiality due to access to sensitive information
  14. Exhibit excellent self-organization skills and proactivity
  15. Attention to detail with a dynamic, committed attitude and a strong sense of initiative
  16. Intercultural competence and excellent communication skills in English, both written and verbal
  17. Proficiency in Microsoft Office
  18. Be dynamic, highly motivated, well-organized, and detail-oriented
