We are looking for a Customer Tender and Documentation Manager to join our team!

The Customer Tender and Documentation Manager is responsible for management and coordination of responses and tender delivery quality, as well as, organization, accuracy and controlled accessibility of all Assaia documentation. She / He will ensure that tender responses are accurate and timely and that all questions and potential challenges are identified and clarified prior to the tender submission deadline. Providing support for different departments makes sure that the information used in internal and external communication is up-to-date, accurate and consistent. Working closely with the Security and Compliance team, to ensure that all documentation is aligned with the required standards.

Responsibilities

  • Clarification of bid conditions and tender preparation management
  • Assignment of tender responses to accountable team members
  • Contribution to tender cost and price calculations
  • Coordination of tender reviews and deadlines and management of the same with customer representatives
  • Drive continuous tender management process improvement
  • Provide support for the commercial team during the Tender process
  • Provide the security, accessibility, and proper distribution of all documents and folders (not only tender related)
  • Develop, review and update documentation management plans, procedures and processes
  • Implement document disaster recovery through document archiving
  • Together with the IT security manager assign / approve user privileges
  • Ensure documentation compliance with regulatory and security standards
  • Identify documentation owners
  • Support the marketing team by providing up-to-date information about marketing materials, events, website updates and other activities
  • Lead the creation of the Assaia Knowledge Base

Requirements

  • 3-5 years of experience managing the customer tender process
  • Strong time-management and organizational skills
  • Ability to coordinate simultaneous multiple tasks and competing priorities
  • Excellent spoken and written communication skills in German and English
  • Professional presentation skills
  • Knowledgeable in document management procedures, systems, and standards
  • Documentation management experience, preferably in a software company
  • Familiar with the technical terminology used in software development companies
  • Technical writing skills are a definite advantage
  • Knowledge of global standards for quality and control
  • Excellent organization and analytical skills
  • International and multicultural working experience, excellent English skills, verbal and written
  • Bachelor’s degree in Engineering, Business, Marketing or related field
  • Knowledge of Electronic Document Management Systems (EDMS)
  • Aviation industry knowledge and experience is considered an asset
