What We Are Looking For

The successful candidate will join our growing Grid Automation team, managing projects in Germany, Switzerland, and Austria, with opportunities to expand into other European countries.

Our team is small, international, and based in Berlin and Dresden.

We seek a detail-oriented and proactive Administrative Coordinator to support operations in the energy sector. This role involves managing administrative functions such as order fulfillment, logistics, contract management, and invoicing, ensuring smooth internal processes and excellent service delivery to clients and stakeholders across multiple regions.

Your Future Job:

Order Fulfillment (60%)

  • Process and manage sales and purchase orders using our ERP system (SAP).
  • Coordinate internal service orders between units.
  • Monitor order statuses and liaise with relevant departments to ensure timely processing.
  • Ensure accuracy of order data and documentation.

Logistics Coordination (5%)

  • Coordinate with freight forwarders and logistics partners for transportation planning.
  • Track shipments and manage transport documentation, including packing lists, invoices, and shipping instructions.

Contract Management (10%)

  • Maintain and update contract records, including supplier and customer agreements.
  • Assist in preparing and reviewing commercial contracts for accuracy and compliance.
  • Track key contract milestones, obligations, and renewals.

Invoicing & Documentation (25%)

  • Prepare and issue customer invoices based on contractual terms and delivery milestones.
  • Ensure consistency between sales orders, delivery notes, and invoicing data.
  • Collaborate with finance and accounting teams to resolve discrepancies or delays.
  • Maintain accurate records for audits and reporting.

Your Profile:

  • Degree in Business Administration or a related field.
  • At least 3 years of relevant experience in administrative, operational, or logistics support roles.
  • Experience working in multicultural and international environments, with the ability to operate within a matrix organization.
  • Proficient in MS Office and ERP systems; experience with SAP SD & MM modules is a significant advantage.
  • Strong attention to detail, time management, multitasking, and organizational skills.
  • Excellent communication and interpersonal skills, fluent in English and German (C1 level).
