We are seeking an experienced Business Support Services Manager to lead the BSS team across the DACH region (Germany, Austria, Switzerland), encompassing 22 offices and a diverse team of approximately 10 professionals. This pivotal role involves providing strategic leadership, managing diverse operational responsibilities, and ensuring the team delivers results aligned with business goals.

The role includes leadership in managing people, setting strategic directions, and aligning resources to business needs. Responsibilities include administrative operations, lease agreements, and car fleet management. The position also requires adapting to emerging challenges and opportunities.

Job Level Description

This managerial role oversees a team of professionals across the DACH region. Responsibilities include independently resolving operational challenges, maintaining compliance, and fostering team development. A deep understanding of business interconnectivity and a commitment to cultivating a collaborative and inclusive work culture are essential.

Job Purpose

The Business Support Services Manager ensures comprehensive support for facilities management, administrative operations, and resource optimization across the DACH region. This involves strategic planning for capacity and space requirements, maintaining governance standards, and delivering impactful results aligned with organizational goals.

Key Accountabilities
  1. Facilities Management: Oversee lease contracts, ensure timely renewals or optimizations, and forecast renovation projects to align with business needs.
  2. Space Optimization: Analyze and optimize space usage across 22 offices to enhance efficiency and align with organizational priorities.
  3. Car Fleet Management: Manage car fleets, including contract negotiations, policy implementation, and cost-saving objectives.
  4. Governance Standards: Develop and maintain standards for operational activities, ensuring compliance and alignment with organizational goals. Handle procurement and vendor contracts for cost-effectiveness and quality services.
  5. Health & Safety: Ensure compliance with health and safety regulations across the DACH region.
  6. Leadership: Lead and inspire a diverse team across multiple locations, fostering development and high performance.
  7. Mobility: Be open to occasional travel within the DACH region to address site-specific requirements and foster collaboration.
Key Performance Indicators (KPIs)

The following KPIs reflect key focus areas and are subject to adjustment based on business needs:

  • Employee Engagement: Maintain high levels of team satisfaction and engagement as reflected in the Employee Engagement Survey (EES).
  • Operational Efficiency: Drive initiatives to improve administrative and operational processes across the DACH region.
  • Cost Optimization: Identify and implement opportunities to reduce costs while maintaining quality standards.
  • Stakeholder Collaboration: Strengthen relationships with internal and external stakeholders to enhance visibility and impact.
  • Project Delivery: Ensure timely and effective completion of renovation, space optimization, and infrastructure projects.
Skills and Requirements
  • Education: Bachelor’s degree in business administration, management, engineering, or equivalent; a master's degree or MBA is advantageous.
  • Experience: Minimum of 5 years managing diverse teams across multiple locations.
  • Languages: Fluency in English (essential) and German (mandatory).
  • Technical Skills: Advanced proficiency in Microsoft Office and office management systems; knowledge of automation tools, workflow management, and project management methodologies is a plus.
  • Attributes: Strong decision-making skills, proactive problem-solving, and effective resource management.
