Job Title: Business Assistant

As a business assistant, you’ll apply your professional skills in a wide range of tasks, including:

  1. Data Entry: Accurately enter, update, and maintain data in various databases and spreadsheets.
  2. Contact Management: Assist in managing and updating contact lists, including customer and supplier information (Excel and AirTable).
  3. Zoom Coordination: Schedule and manage Zoom meetings, send invitations, and ensure all necessary details are provided.
  4. Word and Document Processing: Prepare, edit, and format texts, documents, and presentations as needed.
  5. Data Mining: Conduct online research to gather relevant information as requested by a manager (e.g., company profiles).
  6. Excel Management: Create, update, and manage Excel spreadsheets to support business intelligence and reporting.
  7. Analytics Support: Assist in compiling and analyzing data for business reports and presentations.
  8. Document Translation: Translate documents as needed.
  9. Minute Preparation: Assist in taking and preparing meeting minutes.
  10. Data Storage Management: Organize and manage data storage systems to ensure data integrity and availability (Notion).
  11. Letter Preparation: Compose and prepare business correspondence and letters.
  12. Calendar Analytics: Assist in populating the CEO's calendar and provide analytical support related to calendar management.
About You

You have at least 7 years of experience in a senior administrative support role, supporting executives or business owners, preferably in fast-paced environments supporting CEOs or business leaders. You are a team player with excellent communication skills, a positive outlook, and a genuine desire to help others succeed. You pride yourself on the quality of your work; you are proactive, dynamic, flexible, tech-savvy, results-oriented, and detail-oriented — all with a smile!

Required Skills and Experience
  • At least 7 years of direct experience as an executive or business assistant to business owners or high-profile entrepreneurs (e.g., Forbes list).
  • Fluent Russian language skills are mandatory.
  • Advanced knowledge of online tools such as Google Workspace, Office 365, Zoom, Jira, Slack, and Notion.
  • Ability to multitask efficiently and prioritize tasks effectively.
  • Highly organized with excellent time management skills.
  • Quick learner of new tools and technologies.
  • Excellent interpersonal and communication skills.
  • Ability to work independently and under tight deadlines.
