Overview

Are you passionate about organization, precision, and helping projects run smoothly behind the scenes? We are looking for an Assistant Permit Coordinator who thrives in a fast-paced environment and takes pride in ensuring a seamless permitting and application process for our clients. In this role, you will be responsible for ensuring a smooth and efficient permitting application/submission flow and supporting various related stages of the permitting process. Success will be measured by achieving the established program KPIs. You will report to the Program Team Lead and play a crucial role in supporting the team's objectives. If you’re ready to make an impact, collaborate with internal teams, and work in a dynamic setting, we’d love to hear from you.

What you will do as an Assistant Permit Coordinator

The Assistant Project Coordinator (APC) plays a critical role in streamlining the execution of solar energy projects by targeting specific project stages where delays may occur. The APC supports Project Coordinators by clearing bottlenecks, ensuring accurate documentation, and facilitating smooth communication between internal teams and clients.

The current focus areas for APCs include:

  • Design
  • Notice to Proceed (NTP)
  • Handoff Rejects
  • Permission to Operate (PTO)
  • SREC & VPP Processes
Key Responsibilities
  • Support Project Coordinators in the intake of new projects, including auditing contracts and verifying submission of all required documents.
  • Generate reports from the CRM system, and assist with data entry and data cleanup to ensure up-to-date project information.
  • Communicate directly with clients to request and collect missing documents, provide updates, and coordinate key project milestones.
  • Follow a structured schedule as outlined by leadership to stay aligned with team workflows and deadlines.
  • Maintain a high standard of professionalism and responsiveness in all workplace and digital communications.
  • Actively participate in weekly meetings, including 1-on-1s and team huddles, by asking relevant questions and sharing updates.
What We’re Looking For
  • Educational Background: College-level education preferred; High School Graduate or College Undergraduate Graduate may be considered if accompanied by strong qualifications and relevant experience.
  • Proven work experience: as a Solar Project Coordinator for a U.S. company or in a similar role demonstrating expertise in managing solar projects from initiation to completion.
  • Solid organizational skills, with the ability to multitask and effectively manage time in a dynamic, fast-paced environment.
  • Strong client-facing skills and ability to work effectively within a team, demonstrating clear communication and positive interpersonal relationships with all stakeholders.
  • Familiarity with risk management and quality assurance principles, ensuring that projects meet both industry standards and internal quality controls.
  • Hands-on experience with project management tools, such as CRMs or similar software, to track project milestones, tasks, and deadlines.
