Position: Assistant Japanese Expats Service and General Affairs

Contract: Part-time

About the role:

With offices worldwide and underwriting over 100 classes of specialty insurance, Tokio Marine HCC (TM HCC) is a leading group in the industry. Our products and capabilities set industry standards, and many of our nearly 3,000 employees are industry experts. The Assistant General Affairs supports effective office reception at our Düsseldorf branch in Germany and provides comprehensive Japanese Expat services.

Key Responsibilities:
  • Manage all administrative tasks for Japanese Expats and the GA department.
  • Collaborate closely with Japanese Expats and the GA Manager.
  • Handle househunting, embassy, family support, and school arrangements for children.
  • Coordinate with TMNF payroll provider on tax and personnel issues.
  • Manage TMNF expense accounting.
  • Process TMNF online banking transactions on behalf of head office.
  • Prepare TMNF monthly accounting reports.
  • Arrange travel, hotel, and restaurant bookings as needed.
  • Manage front desk duties, including visitor reception, calls, mails, and parcels.
  • Oversee office premises, including cleaning schedules, property management, supplies, and equipment.
  • Ensure all utility systems are operational and maintained per schedules.
  • Organize company events and catering.
  • Report accurately and timely to supervisors, maintaining data integrity.
  • Adhere to ethical standards and company policies.
  • Perform additional general affairs tasks as assigned by the GA Manager.
Skills and Competencies Required:
  • Bachelor's degree in any field.
  • Several years of office administration experience.
  • Fluent in English, Japanese, and German.
  • Proficient in MS Office applications.
  • Excellent intercultural and interpersonal skills.
  • Discreet, reliable, courteous, and able to maintain confidentiality.
  • Strong organizational skills with the ability to prioritize.
  • Service-oriented and customer-focused attitude.
  • Effective communication skills and team spirit.
  • Proactive with the ability to keep stakeholders informed.
