We are a market-leading general contractor with a billion-pound turnover, specialising in the delivery of complex, high-value data centre and industrial construction projects across Europe. As our business continues to grow, we are seeking a highly organised and proactive Office Administrator to join our dynamic Frankfurt team.

Role Overview:

The Office Administrator will play a key role in supporting the smooth day-to-day operations of our Frankfurt office. Reporting to the Finance Director, you will be the first point of contact for visitors and callers, while also ensuring that the office environment is well-maintained, organised, and efficient. This is a varied role that requires strong communication, time management, and multitasking skills.

Key Responsibilities:

  • Manage the main phone line, directing calls and handling enquiries professionally
  • Meet and greet visitors, ensuring a positive and professional first impression
  • Organise internal meetings, including room setup and arranging refreshments/lunches
  • Coordinate travel and accommodation bookings for staff
  • Administer hire car accounts and ensure cost-effective bookings
  • Collect and collate weekly timesheets
  • Monitor and replenish office supplies (stationery, consumables, refreshments, etc.)
  • Maintain and service office equipment (photocopiers, plotters, franking machines, etc.)
  • Perform general clerical duties including photocopying, formatting, and faxing documents
  • Ensure the office environment is clean, safe, and well-maintained; arrange for any necessary repairs
  • Manage both electronic and physical filing systems
  • Respond to routine information requests and data queries
  • Prepare and modify documents, including reports, memos, timesheets, and emails
  • Handle incoming mail and parcel deliveries
  • Maintain and update the company contact list, including onboarding and offboarding staff
  • Provide administrative support to the Finance Director and Accounts Team
  • Assist the Fleet Manager and HR Manager with tasks as required

Requirements:

  • Proven experience in an administrative or office management role
  • Excellent organisational and multitasking abilities
  • Strong verbal and written communication skills in English (German a plus)
  • Proficiency with MS Office (Word, Excel, Outlook, Teams)
  • Professional, approachable, and proactive attitude
  • Ability to maintain confidentiality and handle sensitive information
  • Experience within a construction or engineering environment is desirable but not essential
