Tasks

What We'd Love You To Do

  • Oversee office operations, including filing, auditing, correspondence, and supplies.
  • Ensure compliance with health & safety policies and risk assessments.
  • Support finance with invoices, expenses, payroll, and cost-saving initiatives.
  • Manage onboarding and offboarding, handling IT setup, building access, and equipment.
  • Act as the first point of contact for employees, guests, and service providers.
  • Coordinate schedules, diary management, travel bookings, and employee benefits.
  • Handle mail, deliveries, office policies, and compliance updates.
  • Assist in planning and executing company events.
  • Provide administrative support to leadership and the broader team.
Requirements

What You Bring

  • At least three years of experience in office administration, ideally within a small to medium-sized organization.
  • A strong sense of responsibility and ownership—you’re proactive, detail-oriented, and thrive on keeping things running smoothly.
  • Excellent time management skills, with the ability to multitask and meet deadlines in a dynamic environment.
  • A passion for fostering a positive company culture and enhancing the employee experience.
  • A problem-solving mindset—you’re adaptable, resourceful, and love taking on new challenges.
  • Proficiency in Microsoft Office tools.
  • The ability to stay calm under pressure and work effectively in multidisciplinary teams.
  • A positive and collaborative attitude—you’re someone people enjoy working with.
  • Excellent written and spoken German (C2 level or equivalent) with fluency in English
