Overview

Why We Need Your Talents:

The Hotel and Event Accounting Specialist is responsible for the accurate and timely billing of hotel accommodations, event services, and related charges. This role ensures that all financial transactions are processed efficiently and in compliance with company policies and procedures. The specialist will work closely with various departments, including Sales, Catering, Front Desk, and Accounting, to resolve billing inquiries and maintain accurate financial records.

Responsibilities

Where You'll Make an Impact:

Billing and Invoicing

  • Maintain a deposit schedule for each contracted event and take payment timely and accurately.
  • Prepare and process accurate invoices for guest rooms, events, banquets, and other services.
  • Ensure all charges are correctly posted to guest/event folios.
  • Generate and distribute invoices to clients within established deadlines.
  • Process group billing, including master accounts and individual folios.
  • Handle direct billing and credit applications.
  • Manage and reconcile event deposits and final payments.

Account Management

  • Maintain accurate records of all billing transactions.
  • Resolve billing discrepancies and disputes with guests and clients.
  • Respond to billing inquiries from guests, clients, and internal departments.
  • Monitor accounts receivable and follow up on overdue payments.
  • Maintain organized and up-to-date billing files.

Systems and Reporting

  • Utilize hotel property management systems (PMS) and event management software to generate reports and manage billing processes.
  • Prepare daily, weekly, and monthly billing reports.
  • Assist with month-end closing procedures.
  • Ensure compliance with accounting standards and internal controls.
  • Generate and analyze reports on billing activities and trends.

Collaboration and Communication

  • Work closely with Sales, Catering, Front Desk, and Accounting teams to ensure accurate billing.
  • Communicate effectively with guests and clients regarding billing matters.
  • Provide excellent customer service and resolve billing issues professionally.
  • Assist with the training of other team members on billing procedures.

Compliance

  • Maintain compliance with all applicable tax laws and regulations.
  • Adhere to company financial policies and procedures.

  • Ability to reach for specific objects at short distances in local working area.
  • Ability to perceive depth and distance.
  • Ability to perceive emergency or distress signals.
  • Ability to perform job tasks and remain vigilant in the event of an emergency.
  • Ability to work in a smoking environment.
  • Ability to walk up/down 32 steps to/from Casino floor.

Qualifications

Must-Haves:

  • High School graduate or GED equivalent.
  • Minimum two (2) years of experience in related function.
  • Finance experience preferred.

Physical Requirements:

  • Ability to sit for extended periods of time.
