Job Duck, LLC is hiring a Billing and Collections Specialist to guide clients through payment options, verify credits, and manage billing communications in a remote setting. You will work with US-based clients, ensure accurate invoicing, and maintain feel-good service throughout the lifecycle of their case.

The role requires 2+ years in billing/collections, comfort with outbound calls, proficiency with Clio Manage/Clio Grow, LawPay, Dialpad, and Google Workspace, plus a quiet home workspace.

Qualifications

• 2 years of experience in billing, collections, or accounts receivable within a professional services environment; law firm experience preferred.
• Comfort with outbound phone calls and client-facing conversations.
• Proficiency with practice management software, preferably Clio Manage.
• Ability to read and interpret legal invoices, time entries, trust account statements, and engagement agreements.
• Strong written communication for escalations, client correspondence, and weekly reporting.
• Proficiency with Google Workspace (Gmail, Sheets, Calendar, Drive).
• Experience with LawPay, Dialpad, or Clio Grow is a plus.
• Reliable computer setup and a quiet, distraction-free remote work environment.

Responsibilities

• Guide clients through payment options before accepting any inability to pay.
• Confirm credits, write-offs, and billing holds in writing before finalizing bills.
• Call clients before sending replenishment requests and document attempts.
• Check attorney calendars for hearings and initiate retainer requests.
• Produce a weekly report detailing resolved and pending complaints.
• Provide cost ranges for upcoming events to avoid surprises for clients.
• Log every billing complaint with a timestamp and route to the attorney via email.
• Keep trust accounts funded and clients informed.
• Lead collections conversations with a brief case update before addressing balances.
• Maintain accounts receivable below 2% of total billings.
• Deliver a billing tutorial within five business days of client retention.
