Job summary

Job Duck, LLC is hiring a bilingual Billing Specialist to manage client accounts and help clients understand their financial obligations throughout legal matters. You will monitor payments, follow up on missed commitments, and maintain accurate financial records while communicating clearly about invoices and schedules.

The role requires empathy, persistence, and professional boundaries, with a portfolio of 150–200 active accounts and a remote, US-facing schedule.

Qualifications

• 2+ years experience in accounts receivable, billing, collections or similar financial conversations with clients
• Experience with invoices, payments, balances, payment plans, and client account records
• Comfort with proactive outbound phone follow-up regarding missed payments and overdue balances
• Experience managing a portfolio of approximately 150–200 active client accounts
• Familiarity with Docketwise or comparable legal practice management software is helpful but not required
• Experience with law firm billing or legal practice management software preferred
• Familiarity with attorney trust accounting and IOLTA activity preferred

Responsibilities

• Prepare trust disbursements under attorney direction
• Investigate payment discrepancies and recurring account issues
• Manage the client-facing financial relationship from engagement through final payment
• Conduct direct and professional conversations with clients who fall behind on payments
• Identify circumstances preventing payment and discuss options within policies
• Establish clear next steps while maintaining financial boundaries
• Prevent overdue accounts and ensure a next action is defined
• Track every expected payment until paid, rescheduled, escalated, or resolved
• Manage a portfolio of approximately 150–200 active client accounts
• Follow up promptly on missed payments and broken promises
• Independently resolve routine billing and client account issues within policies
• Contribute recommendations to improve billing processes and reduce friction
• Ensure clients understand what they owe, when due, what they paid, and what remains
• Explain invoices, payment schedules, and financial commitments to new clients
• Address financial questions and misunderstandings early in the relationship
• Monitor missed payments and required next actions
• Maintain accurate invoices, payments, balances, payment plans, and records
• Ensure every expected payment has amount, due/promise date, status, and next action
• Support attorney trust account activity including entering client trust balances
• Escalate exceptions, disputes, discrepancies, and unusual situations
• Identify and flag trust account discrepancies for the external bookkeeper
• Identify patterns of confusing invoices or lost payment promises
