Job summary

YipitData is looking for a highly organized Recruiting Coordinator to manage interview scheduling, candidate experience, and system updates as we scale our hiring. You’ll partner with recruiters and hiring teams to keep processes moving smoothly, across time zones, while maintaining accurate recruiting data.

You will support multiple searches, ensure interview plans and scorecards are complete, and help hand off successful candidates to onboarding.

Qualifications

• 2+ years of experience in recruiting coordination or recruiting.
• Experience with Greenhouse or Ashby or another ATS.
• Highly organized, detail-oriented, and able to multitask.
• Excellent communication with candidates and internal partners.

Responsibilities

• Coordinate interviews across candidates, recruiters, hiring managers, and interviewers, including across time zones.
• Manage interview scheduling and candidate preparation.
• Resolve scheduling conflicts and ensure positive candidate experience.
• Coordinate candidate reference checks and share findings with hiring teams.
• Maintain accurate candidate, interview, and job data in Greenhouse and other systems.
• Monitor workflows for feedback, delays, or bottlenecks.
• Ensure interview plans, scorecards, and recruiting documentation are completed on time.
• Coordinate the candidate’s transition from offer to onboarding with People Ops.
• Provide reliable support to recruiters, hiring managers, and interviewers.
• Identify opportunities to speed up recruiting processes.

We are looking for a highly organized, proactive Recruiting Coordinator to help us deliver an exceptional and efficient hiring experience as YipitData continues to grow.

You’ll be a critical member of the Recruiting team, owning the operational details that keep our hiring processes moving—from interview scheduling and candidate coordination to maintaining accurate recruiting systems and supporting the launch of new roles.

What You’ll Do

Own Interview Coordination & Candidate Experience

• Coordinate interviews across candidates, recruiters, hiring managers, and interviewers, including across time zones.
• Serve as the primary point of contact for interview scheduling, ensuring candidates are informed, prepared, and supported.
• Proactively resolve scheduling conflicts and to ensure positive candidate experience and issues to keep the hiring moving.
• Coordinate candidate reference checks with Recruiters, and promptly share findings with hiring teams.

Keep Recruiting Operations Running Smoothly

• Maintain accurate candidate, interview, and job information in Greenhouse and other recruiting systems.
• Support job openings and postings, and monitor workflows for missing feedback, delays, or other bottlenecks.
• Ensure interview plans, scorecards, and recruiting documentation are accurate and completed on time.
• Coordinate the candidate’s transition from offer acceptance to onboarding, ensuring a seamless handoff to the Global People Operations team.

Partner With Recruiters & Hiring Teams

• Provide timely, reliable support to recruiters, hiring managers, interviewers, and People partners.
• Ensure interview teams have the information and resources they need.
• Support multiple searches and shifting priorities, communicating proactively when timelines or needs change.

Improve How We Work

• Identify opportunities to make recruiting processes faster, simpler, and more scalable.
• Maintain recruiting templates, trackers, documentation, and resources.
• Support recruiting projects and reporting, proactively taking ownership of what needs to happen next.

You Are Likely to Succeed If You

• Have 2+ years of experience in recruiting coordination or recruiting.
• Have experience with Greenhouse, Ashby, or another ATS.
• Are highly organized, detail-oriented, and comfortable managing multiple priorities and systems.
• Communicate clearly, professionally, and proactively with candidates and internal partners.
• Show strong judgment, initiative, responsiveness, and follow-through.
• Thrive in a fast-paced environment and proactively identify and solve problems.

Bonus Points

• Experience coordinating across multiple time zones or supporting high-volume hiring.
• Familiarity with recruiting metrics, reporting, or process documentation.
• Experience implementing process improvements to enhance the candidate experience and overall hiring process
