The Qualifications We Seek
- Professional degree in Psychology
- Up to 12 months of experience in HR administration; professional internships or relevant practical experience will also be considered
- Genuine interest in starting and developing a career in Human Resources, with the motivation to learn and gain hand-on experience across different HR processes
- Basic understanding of Colombian labor regulations and willingness to continue developing this knowledge
- Strong attention to detail and accuracy in managing employee information, documentation, and HR records
- Strong organizational skills, with the ability to manage multiple administrative and recurring tasks while maintaining proper tracking and follow-up
- Intermediate proficiency in Microsoft Excel
- Ability to handle confidential and sensitive employee information with discretion and professional judgment
- Adaptability, openness to change, and a strong growth mindset
- English proficiency at B2 level or higher is preferred
Your Daily Tasks
HR Administration and Employee Lifecycle
- Organize and prioritize assigned workloads according to established schedules, deadlines, service-level agreements, and checkpoints defined by the direct leader
- Prepare and process employment contracts, contract amendments, and other employee lifecycle documents
- Manage employee registrations, information updates, and administrative procedures with external entities
- Maintain accurate and up-to-date employee files, records, and information within HR systems
- Ensure employee documents are complete, properly stored, and handled according to established procedures and confidentiality requirements
Onboarding and Offboarding
- Complete administrative activities related to employee onboarding and offboarding
- Prepare and collect required employee documents
- Coordinate user account and system access requests with the appropriate teams
- Schedule employee orientation and induction sessions
- Maintain onboarding and offboarding checklists and complete all required administrative steps
- Support the administrative closure of employee departures and update the corresponding documents and records
Learning, Wellbeing, and Performance Support
- Provide logistical and administrative support for training programs, employee wellbeing initiatives, and performance management cycles
- Coordinate invitations, registrations, materials, attendance records, and other administrative requirements
- Maintain accurate records of employee participation and results, when applicable
- Ensure activities are properly documented and completed within established timelines
Employee Support and Documentation
- Prepare and issue employment certificates and other standardized employee documents
- Respond to assigned employee requests according to established HR policies and procedures
- Maintain accurate records and follow up on employee requests
- Escalate non-standard, sensitive, or exceptional cases to the direct leader for guidance and resolution
Recruitment and Payroll Coordination
- Consolidate and submit required employee information to the Recruitment and Payroll teams within established deadlines
- Provide accurate information regarding new hires, terminations, contractual changes, and other relevant employee updatesValidate the completeness and accuracy of information before submission
- Follow up on pending information to ensure deadlines are met
- Support the flow of information required by Recruitment and Payroll without directly performing recruitment or payroll processes
Process Compliance and Continuous Improvement
- Follow established HR procedures, controls, and documentation standards
- Support internal reviews and audits by maintaining complete and accurate employee records
- Identify opportunities to improve administrative HR processes
- Recommend practical improvements that reduce processing time, minimize errors, and enhance the employee experience
- Escalate situations that fall outside established procedures to the direct leader
Key Performance Indicators
- Complete planned HR transactions, documents, requests, and records within each reporting period
- Meet established deadlines and service-level agreements for assigned processes and deliverables
- Maintain process quality by minimizing errors and rework
- Keep employee files complete, accurate, and up to date during periodic reviews
- Follow established processes and maintain a target of zero findings during internal audits and reviews
- Propose and implement improvements that save time, reduce errors, or increase process efficiency
