Organizational context: The United Nations Office on Drugs and Crime (UNODC) works with states and civil society to prevent drugs and crime from threatening security, peace, and development. UNOPS, an operational arm of the UN, supports the successful implementation of peacebuilding, humanitarian, and development projects globally. This role supports UNODC's mandate through HR services provided by UNOPS, focusing on operational support for UNODC's global programs.

Job purpose: The Project/Programme Management Support Assistant provides essential administrative support to project and programme teams. This role is crucial for facilitating the effective planning, implementation, and monitoring of project activities. By assisting with tasks such as filing, data entry, logistics, and document organization, the incumbent ensures that project operations run smoothly and efficiently. Under close supervision, this position contributes directly to the timely and accurate execution of project deliverables, supporting the overall success of UNODC's initiatives in combating illicit drugs, crime, and terrorism.

Responsibilities: Provide routine administrative support for the planning, implementation, and monitoring of project/programme activities, adhering to UNODC standards and policies. Assist in tracking project progress and personnel needs, organizing related files, minutes, and documentation for new and active staff, workshops, and training sessions to ensure timely follow-up and accurate record-keeping. Help compile and organize management reports, call for materials, inductions, selection files, and meeting minutes as directed by supervisors. Maintain tracking tools for calls for applications, new positions, training programs, and project personnel files, ensuring data accuracy and proper archiving. Facilitate logistical support for area activities, including organizing meetings, interviews (physical and virtual), and calls for applications. Participate in regular team meetings to report on progress, upcoming priorities, and coordination needs. Provide logistical and administrative support for training and learning sessions on personnel management within projects/programmes. Participate in knowledge-sharing initiatives and Communities of Practice, sharing observations from daily tasks.

Education: Required: High school diploma or equivalent with 3 years of relevant experience. Desired: Undergraduate university degree (bachelor's or equivalent) in fields such as psychology, business administration, industrial engineering, or social work with 0 years of experience.

Work experience: Required: Document and logistical support experience for project/programme management, commensurate with academic qualifications. Demonstrated proficiency in collaboration and productivity tools (e.g., MS Office) and web-based management systems. Desired: Experience working in international cooperation agencies or a UN System organization is advantageous.
