Bechtel in Santiago is seeking a seasoned document control specialist to manage documents and records for project activities. You will assist in processing, distributing, and maintaining records and support the enterprise content management system (ECMS).

You will coordinate with teams to ensure accuracy, assign document numbers, train staff on software, and produce routine reports. Strong attention to detail and experience with engineering projects are required.

Formación

  • Requires 6+ years of related experience.
  • Experience in document management on engineering projects.
  • Proficient in MS Office and Aconex.

Responsabilidades

  • Provide document and records management services and assist in ECMS implementation.
  • Review, log, distribute, maintain, retrieve, and manage records and revision-controlled documents.
  • Assign unique document numbers to documents based on procedures.
  • Perform daily, weekly, and monthly quality checks on data entry.
  • Interface with internal and external customers on document control matters.
  • Assist in training others in use of software applications for document management.
  • Ensure records are complete, accurate, and compliant with procedures.
  • Create and distribute document processing reports; assist with data migrations and validation.

**POSITION SUMMARY**
Assist staff with expediting problem payments (e.g., problems processing credit card). Follow up with guest regarding satisfaction with guest-related issues. Process all guest check-ins by confirming reservations, assigning room, and issuing and activating room key. Process all payment types such as room charges, cash, checks, debit, or credit. Anticipate sold-out situations and obtain satisfactory alternative accommodations when the property cannot accommodate guests with reservations. Process all check-outs including resolving any late and disputed charges. Answer, record, and process all guest calls, messages, requests, questions, or concerns. Coordinate with Housekeeping to track readiness of rooms for check-in. Run daily reports (number of arrivals, departures), identify any special requests, and check reports for accuracy. Cash guests' personal checks and traveler's checks. Review shift logs/daily memo books and document pertinent information in logbooks. Count bank at the beginning and end of shift. Balance and drop receipts according to Accounting specifications.
Assist management in training, motivating, and coaching employees; serve as a role model. Report accidents, injuries, and unsafe work conditions to manager; complete safety training and certifications. Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information. Anticipate and address guests' service needs. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others. Ensure adherence to quality expectations and standards. Stand, sit, or walk for an extended period of time. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

Education: High school diploma or G.E.D. equivalent.
Related Work Experience: At least 1 year related work experience.
Supervisory Experience: No supervisory experience.

# Project Overview:
**Mining and Metals:**
Increasing production of critical minerals provides key components of clean energy technologies, from wind turbines to batteries. # Job Summary:
In this role, you will provide document management services, including but not limited to receiving, processing, distributing, retrieving, and maintaining documents and records. You will assemble information to support project activities and assist in resolving issues and questions. Your attention to detail, accuracy, and support will help ensure documents are in the right place at the right time.
# Major Responsibilities:
+ Providing document and/or records management services and assists in the implementation of the enterprise content management system (ECMS).
+ Reviewing, logging, distributing, maintaining, retrieving, and managing a wide range of records and/or revision-controlled documents (e.g., drawings, specifications, supplier submittals, correspondence, material requisitions, construction work packages, change documents, etc.) in accordance with established procedures, instructions, and guidelines.
+ Providing guidance to authors in assigning unique document numbers to documents based on procedures.
+ May assist in the review of data entry accuracy for assigned work by performing daily, weekly, and monthly quality checks.
+ Interfacing with internal and external customers on a routine basis.
+ Interfacing with other groups in the resolution of questions, issues, or actions relating to document control matters.
+ Assisting team members with questions or issues related to document numbering, work process, electronic signatures, document legibility, etc.
+ Directing the team on records security classification policy and procedures.
+ Assembling information needed to support project activities, including but not limited to metrics, audits and self assessments.
+ Providing input to creating/updating desktop work instructions, plans and procedures. May assist in training others in use of software applications used for document management activities.
+ Working with team members to ensure records are complete and accurate and compliant with procedural requirement.
+ Creating and distributing document processing reports, as requested. May assist with data migrations and post-migration validation efforts.
# Education and Experience Requirements:
+ Requires a minimum of 6+ years of related experience.
+ Associate degree or related technical training preferred.
# Required Knowledge and Skills:
+ Operation in Aconex at an intermediate to advanced level, specific to the Document Management Function.
+ MS Office medium or advanced level.
+ Previous experience in Engineering and Construction Projects.
+ Teamworks skills.
+ Knowledge of reporting tools or methods.
