25hours Hotel Zürich West in Zürich is seeking an experienced events coordinator to manage guest experiences and coordinate with internal teams for seamless events. You will handle offers, contracts and invoices, enter bookings, and manage rooming lists for accurate check-ins and stay arrangements.

Aufgaben

• Oversee event guests from morning to night with the team.
• Coordinate events with internal departments and provide required information to all stakeholders.
• Handle group requests starting from 8 rooms and prepare offers, contracts, and invoices.
• Enter bookings into the system and manage rooming lists and check-in details.
• Meet clients on-site and supplement with phone communications.
• Propose actions to optimise capacity and ensure smooth event execution.

Job Description

How does your working day looks like ...

• You take care of our event guests – hand in hand with your team, from morning until night
• You coordinate events with all internal departments and make sure everyone has the information they need
• You are responsible for all group requests starting from 8 rooms
• You prepare offers, contracts, and invoices
• You enter bookings into the system, create rooming lists, and make all arrangements for the perfect check-in and stay
• You meet with customers on site and complement this with telephone communication
• You put forward proposals in the company’s best interests in order to achieve optimal capacity utilisation
• You keep a cool head – even when every room in the house is sold and the phones are ringing off the hook
