Global Security Chair: Office & Operations Manager

Zusammenfassung

ETH Zurich’s Chair of Global Security seeks an Office Manager to build and run operations during a key growth phase. 80–100% commitment, initially fixed-term for two years, with potential extension as the CSS leadership develops.

You will monitor budgets, manage procurement and grants, organise travel and events, support HR onboarding, and maintain the Chair’s web presence and external communications in English (German helpful). Starting 1 November 2026 or soon after.

Qualifikationen

• Completed commercial or administrative vocational training with additional qualification in administration or finance, or a Bachelor's degree.
• Several years of experience in project, office or finance administration, ideally in a university or research setting.
• Ability to handle budgets, funding data and financial tasks with confidence.
• Experience organising travel, events and meetings, including international travel.
• Experience with ERP/finance systems (e.g. SAP) and willingness to learn ETH systems (ETHIS).
• Experience handling confidential information is an advantage.
• Follows ETH Zurich's social and leadership competencies: reliability, collaboration and inclusivity.
• Strong organisation, planning, attention to detail, numeracy and communication skills.
• Outstanding written and verbal English; German is a plus.

Aufgaben

• Oversee finance, procurement and grant management, including forecasting and year-end closings.
• Coordinate project, logistics and fieldwork operations for international collaborations.
• Advise on operational governance, team structures and workflows toward CSS leadership.
• Support HR processes, onboarding and data management in line with ETH guidelines.
• Develop and maintain the Chair’s web presence and handle external communications.
• Provide executive support and manage complex cross-time zone calendars, agendas, minutes.
