About the Role
We are recruiting on behalf of a privately held office in Central Switzerland overseeing a group of Swiss companies, with a particular focus on a growing real estate portfolio and related investments.
This is a varied, hands-on position combining finance administration, payments, e-banking, payroll coordination and property management.
Working within a small team, you will take ownership of the day-to-day finance and property administration across several group companies while working closely with banks, tenants and external professional partners.
Key Responsibilities
Finance & Payments
- Manage the payment process across group companies, including reviewing and settling supplier invoices through e-banking
- Take responsibility for e-banking access and payment authorisations across several banking relationships
- Manage monthly salary payments and coordinate with external payroll/accounting providers regarding social insurance and related matters
- Maintain accurate records and a clear audit trail for all payments
- Support bookkeeping, reconciliations and year-end closing activities
- Act as a key operational point of contact for banks
Property Management
- Act as the main point of contact for residential and commercial tenants
- Manage tenant enquiries, lease administration, rent collection, reminders, repairs and property handovers
- Manage the letting of vacant residential units and commercial spaces, including advertising, viewings, tenant screening and lease preparation
- Coordinate move-in and move-out processes
- Support occasional property sales, coordinating with brokers, notaries, buyers and other parties
- Coordinate facility managers, contractors, craftsmen and insurers
- Monitor service charges and other property-related costs
Office & Group Administration
- Handle general administration and correspondence across the group companies and holding entities
- Maintain contracts, insurance policies and corporate records
- Liaise with accountants, advisors, banks and external service providers
- Support the Office Manager with reporting and ad-hoc projects
About You
We are looking for a highly organised, reliable and discreet professional who is comfortable taking ownership and working independently within a small office environment.
You will ideally have:
- Commercial education (KV/EFZ or equivalent) or a degree in business administration, finance, real estate or a related discipline
- Relevant experience in finance administration, property administration/management, real estate or a family-office environment
- Confidence using Swiss e-banking platforms and managing payment processes
- Good understanding of payroll administration and Swiss social insurance processes
- Practical knowledge of Swiss tenancy law (OR/VMWG)
- A real estate qualification such as Immobilienbewirtschafter/in or SVIT would be advantageous
- Native or Swiss German, together with excellent written and spoken English
- Strong organisational skills and the ability to manage several companies, properties and deadlines simultaneously
- Excellent attention to detail and a high level of discretion and integrity
- A proactive, hands-on approach with the confidence to work independently
