The IPCC Secretariat seeks an Administrative Assistant to support the IPCC Secretary and staff in organizing and delivering the work programme. You will handle administrative tasks, travel, procurement, and reporting, while maintaining confidential information and coordinating multiple activities.
The role requires high-level organizational skills, 7 years of experience, and proficiency with MS Office, Google Apps, and Oracle I-Procurement.
Organizational context: The Secretariat of the Intergovernmental Panel on Climate Change (IPCC) is responsible for supporting the work of the IPCC, which assesses the scientific, technical and socio-economic information relevant to understanding human-induced climate change, its potential impacts and options for adaptation and mitigation. The Administrative Assistant will support the IPCC Secretary and the Secretariat staff in ensuring the efficient organization and implementation of IPCC activities, meetings, and work program deliverables.
Job purpose: To provide a wide range of administrative, coordination, and support functions to facilitate the effective implementation of the IPCC work programme and the smooth functioning of the IPCC Secretariat, under the direct supervision of the Secretary of the IPCC.
Responsibilities: Under the supervision of the Secretary of the Intergovernmental Panel on Climate Change (S/IPCC), the Administrative Assistant will undertake the following duties: Provides administrative support to the IPCC Secretary, coordinates and processes administrative, travel, procurement and financial transactions, ensures effective communication and information flow, drafts and finalizes correspondence and reports, processes and coordinates documentation for meetings, manages correspondence and deadlines, maintains electronic filing systems, coordinates administrative work of the Secretariat, manages calendars and travel, attends meetings and prepares minutes, coordinates information requests, assists in preparing presentations and reports, contributes to the continuous improvement of administrative processes, and performs other related duties as required.
Education: Completion of secondary education is required.
Work experience: A minimum of 7 years of progressively responsible experience in administrative, secretarial, or office support functions.
Skills: Excellent organizational and administrative skills, ability to coordinate multiple activities, sound judgment, discretion, ability to handle confidential information, ability to support senior management, strong attention to detail, proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google Apps (email, calendar, sites), and Quantum Oracle I-Procurement.
