The Alumni Engagement Coordinator is responsible for providing program support to develop, implement and coordinate alumni engagement programs and services. They are expected to be instrumental in the delivery of programs and services designed to facilitate a lifelong relationship with UBC students and alumni.

• Program coordination: coordinate and implement alumni UBC programs, monitor timelines and budgets, provide administrative support.
• Database mining and coordination: maintain accurate alumni and volunteer profiles in the university database, develop and monitor protocols, generate reports.
• Alumni engagement unit support: prepare briefing notes, manage data, identify and coordinate new initiatives.
• Volunteer coordination: support recruitment, orientation, and support for program volunteers.
• Communication: contribute to the communications strategy including social media, web content, alumni newsletters, eblasts, etc.
• Flexible hours: accommodate evenings & weekends, attend and staff events and meetings.
• Other duties as required.

• Reports to: Associate Director, Partnerships & Strategic Initiatives, alumni UBC.
• Works with: alumni UBC staff, UBC staff, alumni volunteers, university administration, alumni and development professionals, faculty members, students, and community organizations.

Given the seniority of interactions, the Coordinator must exercise judgment, diplomacy and tact. Poor judgement may alienate alumni, damage reputation and negatively impact engagement opportunities.

• Received: directly reports to the Associate Director, works independently against objectives.
• Given: does not supervise professional staff; may manage student employees or volunteers on projects.

• Undergraduate degree in a relevant discipline.
• Minimum of one year experience of the equivalent combination of education and experience.
• Willingness to respect diverse perspectives, including conflicting ones.
• Commitment to enhancing awareness, knowledge, and skills related to equity, diversity, and inclusion.

• Experience with alumni or other constituents of a post-secondary institution.
• Experience in volunteer organizations, program coordination, strategic planning, and/or public relations.
• Comfortable working with high-level administrators, volunteers, and staff.
• Excellent time management, organizational, verbal and written communication skills.
• Strong interpersonal and negotiation skills.
• Analytical and problem‑solving skills; ability to handle confidential material with discretion.
• Computer literacy including proficiency with Microsoft Office, Google Workspace, Zoom, Teams, spreadsheets, databases.
