As the Front Desk Receptionist at SUNPAN, you will be the first point of contact for visitors and callers. We are looking for someone who is professional, organized, detail-oriented, and passionate about providing excellent service.

Principal Functions & Objectives :

• Greeting Visitors : Welcome and assist visitors, clients, and employees in a courteous and professional manner.
• Handling Phone Calls : Answer and direct phone calls to appropriate staff members, take messages, and handle inquiries efficiently.
• Record Keeping : Ensure all guests sign in upon arrival.
• Administrative Support : Perform general administrative tasks such as filing, data entry, and managing office supplies.
• Customer Service : Address questions or concerns from visitors and clients, always providing excellent service.
• Mail Handling : Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and shipments. Assist marketing team with seasonal mail-outs.
• Reception Area Management : Maintain a clean and organized reception area, including keeping the front desk and lobby tidy.
• Office Amenities Management : Organize and maintain coffee machines and snack bars, monitor inventory levels, and place orders to replenish supplies as needed.
• Other responsibilities and accountabilities as assigned by management.

Key Skills and Experience :

• Experience : 2-4 years in a high-volume administrative or customer service role preferred.
• Multitasking : Ability to manage multiple priorities simultaneously, including handling up to 8 phone lines.
• Technical Skills : Proficient in Microsoft Office Suite; experience with VOIP systems is an asset.
• Interpersonal Skills : Strong interpersonal skills with a professional, service-driven approach.
• Adaptability : Energetic and tenacious team player who thrives in a fast-paced environment.
• Communication Skills : Excellent verbal and written skills in English.
• Organizational Skills : Highly organized, efficient, with exceptional attention to detail.
