Job summary

Cotality is hiring a Facilities and Office Culture Coordinator to keep our Toronto office running smoothly. You will handle daily operations, support light marketing projects, and serve as a Culture Champion to foster a great work environment.

Qualifications

  • 2+ years of experience in office administration, workplace operations, facilities coordination, or hospitality management.
  • Strong written and verbal communication skills with experience drafting internal communications, newsletters, or announcements.
  • Hands-on experience planning, coordinating, and executing on-site company events, social gatherings, and team-building initiatives.
  • Excellent time management and multitasking abilities with a proven track record of handling vendor coordination, inventory management, and ticketing/service requests.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) or Google Workspace; familiarity with facility ticketing or inventory software is a plus.

Responsibilities

  • Respond promptly to facilities and office service requests
  • Maintain office supply inventory and keep common areas stocked and tidy
  • Manage incoming and outbound mail and packages
  • Coordinate with routine vendors and assist external technicians
  • Set up rooms for meetings and events, and help with desk moves
  • Report building issues to property management and monitor overall cleanliness
  • Maintain seating charts, equipment inventories, and basic facility logs
  • Plan and execute office events, happy hours, and team-building activities
  • Manage team recognition for milestones like anniversaries, birthdays, and new hires
  • Launch fun and engaging initiatives to build a welcoming, collaborative workplace
  • Draft internal announcements and updates regarding office news and events
  • Source, order, and organize company merchandise
  • Capture photos at office events to share with the corporate marketing team
  • Ensure office signage and common spaces look professional and align with company branding

Job Description

Job Qualifications
Required Qualifications
  • Experience: 2+ years of experience in office administration, workplace operations, facilities coordination, or hospitality management.
  • Communication & Marketing: Strong written and verbal communication skills with experience drafting internal communications, newsletters, or announcements. Basic photography skills and eye for brand presentation are a plus.
  • Event Planning: Hands-on experience planning, coordinating, and executing on-site company events, social gatherings, and team-building initiatives.
  • Organizational Skills: Excellent time management and multitasking abilities with a proven track record of handling vendor coordination, inventory management, and ticketing/service requests.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) or Google Workspace. Experience with facility ticketing systems or inventory tracking software is a plus.
Preferred Qualifications
  • Associate’s or Bachelor’s degree in Business Administration, Communications, Hospitality, or a related field preferred.
  • Prior experience interacting with commercial property management and third-party vendors preferred.
  • Energetic, approachable, and proactive attitude with a passion for driving workplace culture and employee engagement.
Annual Pay Range

Annual Pay Range 47,500 - 60,000 CAD
