Job summary

The Greater Vancouver Food Bank is actively seeking a Volunteer Engagement Coordinator to lead recruitment, onboarding, scheduling, and ongoing engagement of volunteers across Vancouver, Burnaby, and surrounding areas.

This full-time, permanent role offers a dynamic environment dedicated to community service, with opportunities to influence volunteer programs and partner engagement. A flexible schedule may include evenings and weekends to support events.

Qualifications

• 1–3 years of administrative experience, preferably in nonprofit/volunteer management or community-focused environment.
• Ability to travel within the lower mainland; a valid driver’s license and vehicle are assets.
• Work from multiple GVFB locations and at off-site venues as required.
• Occasional evenings and weekends may be needed for orientations and events.
• Experience recruiting, engaging, coordinating, and supporting volunteers is advantageous.
• MS Office proficiency (Outlook, Excel, Word, PowerPoint); Canva and Cognito Forms are assets.
• Experience with Better Impact or similar volunteer software is a plus.

Responsibilities

• Lead volunteer recruitment and onboarding activities, screen applicants, coordinate orientation, prepare onboarding materials.
• Support volunteer orientations as needed.
• Maintain accurate volunteer records in Better Impact and other tracking systems.
• Coordinate scheduling, communicate priority shifts, monitor attendance, support retention.
• Prepare and release monthly volunteer schedule and share with departments.
• Support volunteer feedback, surveys, and program evaluations.
• Maintain email templates and automate communications; respond to inquiries.
• Prepare reports and metrics on attendance and program statistics.

This is a full-time permanent position, with the opportunity to learn and grow. The successful candidate can expect a competitive base salary of $57,476 annually, depending on experience.

Position Overview

The Volunteer Engagement Coordinator plays a key role in delivering an exceptional volunteer experience at the Greater Vancouver Food Bank (GVFB). This position is responsible for coordinating volunteer recruitment, onboarding, orientation delivery, engagement, scheduling, volunteer communications, and daily administrative operations that support the organization's volunteer program. The Coordinator serves as a primary point of contact for volunteers and prospective volunteers, ensuring a welcoming, engaging, and well-organized experience from initial inquiry through ongoing participation.

The Coordinator collaborates closely with internal departments, community partners, and volunteers to support volunteer engagement initiatives, strengthen recruitment and retention efforts, and contribute to the continuous improvement of volunteer programs, processes, and overall volunteer experience.

Key Responsibilities

• Lead volunteer recruitment and onboarding activities by screening applications, responding to applicant inquiries, coordinating orientation registration, preparing onboarding documentation, maintaining recruitment materials, and matching volunteers with appropriate opportunities.
• Support with volunteer orientations on an as needed basis.
• Maintain accurate volunteer records within Better Impact and other tracking systems, ensuring required documentation and compliance forms are complete, up to date, and followed up on as needed.
• Coordinate volunteer scheduling, communicate priority shift opportunities, monitor attendance, and support volunteer retention and engagement efforts.
• Support the preparation, coordination, and release of the monthly volunteer schedule, ensuring schedules are accurate, timely, and communicated to volunteers and relevant internal departments.
• Support volunteer feedback processes, surveys, and program evaluations.
• Support volunteer communications by maintaining email templates, forms, and automated communications, responding to inquiries, and sharing volunteer-related updates with internal departments as needed.
• Prepare reports, presentations, spreadsheets, and other administrative materials, including attendance tracking, program statistics, and key volunteer metrics.
• Support the implementation and maintenance of volunteer policies, procedures, and documentation.
• Provide administrative and logistical support for volunteer events, special initiatives, and ongoing program activities.
• Perform other duties as assigned by the Volunteer Engagement Manager.

• Proficiency in computer systems, including Microsoft Office suite (Outlook, Excel, Word, and Power Point).
• Experience in Canva and Cognito Forms is an asset.
• Administrative user experience with Better Impact volunteer management software, or similar volunteer platforms.
