Job summary

The Greater Vancouver Food Bank is seeking a Volunteer Engagement Coordinator to deliver an exceptional volunteer experience across GVFB locations. You will recruit, onboard, orientate, engage and schedule volunteers, while handling daily admin tasks and serving as the primary contact for volunteers.

Collaborating with internal teams and community partners, you will strengthen recruitment, retention and continuous program improvement.

Qualifications

  • 1-3 years of administrative experience, preferably in a non-profit or volunteer management environment.
  • Ability to travel within the lower mainland; a valid driver’s license and vehicle are an asset.
  • Willingness to work at multiple GVFB locations and off-site venues as needed.
  • Flexibility to work occasional evenings and weekends to support orientations and events.
  • Experience recruiting, engaging, coordinating and supporting volunteers is advantageous.
  • Proficiency in MS Office, Canva and volunteer management software.

Responsibilities

  • Lead volunteer recruitment and onboarding activities by screening applications and coordinating orientations.
  • Maintain accurate volunteer records and ensure documentation is up to date.
  • Coordinate volunteer scheduling and track attendance to support retention.
  • Prepare monthly volunteer schedules and communicate with volunteers and internal teams.
  • Support volunteer communications, templates, and outreach updates.
  • Generate reports and statistics on volunteer engagement and program metrics.
  • Assist with events and program activities and maintain volunteer policies.

Position Overview

The Volunteer Engagement Coordinator plays a key role in delivering an exceptional volunteer experience at the Greater Vancouver Food Bank (GVFB). This position is responsible for coordinating volunteer recruitment, onboarding, orientation delivery, engagement, scheduling, volunteer communications, and daily administrative operations that support the organization's volunteer program. The Coordinator serves as a primary point of contact for volunteers and prospective volunteers, ensuring a welcoming, engaging, and well-organized experience from initial inquiry through ongoing participation.

The Coordinator collaborates closely with internal departments, community partners, and volunteers to support volunteer engagement initiatives, strengthen recruitment and retention efforts, and contribute to the continuous improvement of volunteer programs, processes, and overall volunteer experience.

Key Responsibilities
  • Lead volunteer recruitment and onboarding activities by screening applications, responding to applicant inquiries, coordinating orientation registration, preparing onboarding documentation, maintaining recruitment materials, and matching volunteers with appropriate opportunities.
  • Support with volunteer orientations on an as needed basis.
  • Maintain accurate volunteer records within Better Impact and other tracking systems, ensuring required documentation and compliance forms are complete, up to date, and followed up on as needed.
  • Coordinate volunteer scheduling, communicate priority shift opportunities, monitor attendance, and support volunteer retention and engagement efforts.
  • Support the preparation, coordination, and release of the monthly volunteer schedule, ensuring schedules are accurate, timely, and communicated to volunteers and relevant internal departments.
  • Support volunteer feedback processes, surveys, and program evaluations.
  • Support volunteer communications by maintaining email templates, forms, and automated communications, responding to inquiries, and sharing volunteer-related updates with internal departments as needed.
  • Prepare reports, presentations, spreadsheets, and other administrative materials, including attendance tracking, program statistics, and key volunteer metrics.
  • Support the implementation and maintenance of volunteer policies, procedures, and documentation.
  • Provide administrative and logistical support for volunteer events, special initiatives, and ongoing program activities.
  • Perform other duties as assigned by the Volunteer Engagement Manager.

Qualifications and Experience
  • 1-3 years of administrative experience, preferably in a non-profit, volunteer management, customer service, or community-focused environment.
  • Ability to travel within the lower mainland; a valid driver’s license and vehicle will be an asset.
  • Ability to work from various GVFB locations and off-site venues as required, including volunteer fairs, community events, and recruitment activities.
  • Flexibility to work occasional evenings and weekends to support volunteer orientations, events, and other volunteer engagement activities.
  • Previous experience recruiting, engaging, coordinating, and supporting volunteers in a non-profit environment is advantageous.
  • Proficiency in computer systems, including Microsoft Office suite (Outlook, Excel, Word, and Power Point).
  • Experience in Canva and Cognito Forms is an asset.
  • Administrative user experience with Better Impact volunteer management software, or similar volunteer platforms.
