Job description

Kim G C Moody is one of Canada’s leading voices in taxation, economic policy, and the need for improved financial literacy. A Chartered Professional Accountant and tax specialist with over 30 years of experience, Kim is the founder of Moodys Tax / Moodys Private Client . He is also a weekly Financial Post contributor on taxation matters and a frequent, sought-after speaker on complex tax and economic issues. Currently, he focuses on consulting, coaching, writing, thought leadership, and delivering educational content to help Canadians better understand the tax system and take control of their financial futures.

Kim believes deeply in financial literacy as a cornerstone of personal freedom and responsible citizenship . He is passionate about tax reform, simplifying the system , and holding government policies to account—often through a pragmatic and fiscally conservative lens .

YOUR ROLE

As the Virtual Executive Assistant, you will support Kim’s personal brand, manage client and audience relationships, and ensure smooth daily operations. Your responsibilities include :

  • Managing Kim’s schedule, including calendar management, meeting booking, travel, and logistics.
  • Sending action emails and replies, prioritizing items, prompting responses, and following up on deliverables, including reminders and calendar updates.
  • Anticipating support needs and proactively managing tasks with input from the Executive.
  • Maintaining confidential files and records.

SPECIFIC RESPONSIBILITIES

  • Managing and updating the client and task database in HubSpot.
  • Preparing and distributing the weekly newsletter via Mailchimp.
  • Updating Kim’s website with new articles, newsletters, podcast episodes, and webinars.
  • Coordinating bi-monthly webinars : scheduling, promotion, managing registrations and payments, and post-event follow-up.
  • Drafting and editing documents and PowerPoint presentations for keynotes and webinars.
  • Managing Kim’s calendar and meetings for efficiency.
  • Coordinating travel arrangements.
  • Handling daily email communication professionally and promptly.
  • Supporting event planning for retreats, meetings, or private events.
  • Promoting Kim’s personal brand on social media platforms like LinkedIn, YouTube, Instagram, and TikTok.
  • Providing ad hoc administrative support as needed.

QUALIFICATIONS

  • Post-secondary education in business administration, marketing, or related fields preferred.
  • At least 2 years of executive assistant experience.
  • Proven experience supporting executives with administrative and project management tasks.
  • Proficient in Outlook, PowerPoint, Zoom, HubSpot, Vimeo, Calendly, Canva, Gamma, ChatGPT, Grok, and MailChimp.
  • Flexible, able to pivot and manage priorities in a fast-paced environment.
  • Strong work ethic, discretion, initiative, clear communication, and independence.
  • Excellent attention to detail and analytical skills.
  • Ability to maintain confidentiality of sensitive information.
  • Excellent verbal and written communication skills, adaptable to various styles and audiences.
  • Tech-savvy with superior organizational and time management skills.
