Job description

As we continue to expand, we’re seeking a highly organized and detail-oriented Administrative Assistant to support our team with administrative tasks, ensuring that the operations run smoothly and efficiently.

Your Role

As an Administrative Assistant , you will provide essential support to the BackrZone team, helping with day-to-day operations, managing schedules, coordinating meetings, handling communications, and organizing office tasks. You will be responsible for maintaining the office's workflow and ensuring that the team has the resources they need to succeed.

Key Responsibilities

  • Office Management : Oversee daily administrative operations, including managing office supplies and resources.
  • Calendar Management : Schedule and coordinate meetings, appointments, and events for the leadership and team members.
  • Communication Support : Handle incoming communications, including emails and phone calls, directing them to the appropriate departments.
  • Document Preparation : Prepare, proofread, and organize documents, reports, and presentations for internal and external stakeholders.
  • Data Entry & Record Keeping : Maintain accurate records, manage files, and handle confidential information in accordance with company policies.
  • Project Coordination : Assist with project management by organizing and tracking project timelines, deliverables, and resources.
  • Travel Arrangements : Arrange travel and accommodation for team members, ensuring smooth logistical support.
  • Team Support : Provide general administrative support to the team and assist with various ad hoc tasks.
  • Event Coordination : Assist with planning and coordinating company events, both virtual and in-person.

Qualifications & Skills

Must-Have :

2+ years of experience in administrative support or office management roles.

Excellent organizational skills and ability to multitask in a fast-paced environment.

Strong communication skills (both verbal and written).

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.

Attention to detail and ability to manage multiple priorities efficiently.

Strong interpersonal skills and ability to work effectively with a variety of people.

Fluency in English (written and spoken).

Ability to handle confidential information with discretion and professionalism.

Nice-to-Have :

Experience in project management or using project management tools like Asana, Trello, or Monday.com.

Familiarity with blockchain or crowdfunding platforms is a plus.

Fluency in French or other languages is an advantage.

Experience with event planning and logistics coordination .
