Job summary

Pembina Trails School Division is seeking an Utilities Coordinator to work with the Utilities Supervisor to ensure facilities/building systems run efficiently and are maintained in excellent condition.

Responsibilities include managing mechanical equipment, coordinating work orders, maintaining asset inventories, and supporting capital projects, with a focus on safety and teamwork across divisions.

Responsibilities

  • Manage the Division’s mechanical and utility equipment in all facilities and ensure maintenance.
  • Review and coordinate dispatched work using the Division work order system.
  • Maintain accurate asset inventory of all utility equipment.
  • Keep records of work performed on mechanical systems.
  • Provide and manage a preventive maintenance schedule and liaise with school staff.
  • Visit all facilities regularly to identify equipment issues.
  • Recommend system replacements or large repairs as needed.
  • Coordinate with facility maintenance staff when multiple trades are needed.
  • Ensure maintenance is completed in a timely manner.
  • Support lighting and mechanical rebate programs and procurement of maintenance supplies.
  • Assist with large capital projects as needed.
  • Support utility maintenance employees.
  • Maintain a safe and orderly work site.
  • Work with divisional staff and contractors.
  • Provide relief for Utilities Supervisor during absences.
  • Performs other duties as assigned.

Purpose of Position

Under the direction of the Director – Facilities and Operations, the Utilities Coordinator will work closely with the Utility Supervisor to ensure that the Division’s buildings and facilities are maintained in excellent operating condition and that all building systems run efficiently.

Key Responsibilities
  • Working in conjunction with the Utilities Supervisor, manages the Division’s mechanical and utility equipment in all facilities and ensures they are maintained and in good working condition.
  • Utilizes the Division work order system in reviewing/coordinating dispatched work.
  • Maintains accurate asset inventory of all utility equipment.
  • Maintains records of work performed on mechanical systems.
  • Provides and manages a preventative maintenance schedule and liaises with school staff.
  • Visits all facilities on a regular basis to verify/identify equipment issues.
  • Makes appropriate arrangements or recommendations for system replacements or large repairs.
  • Coordinates with facility maintenance staff when multiple trades are needed for tasks.
  • Ensures that general maintenance work is done and emergency repairs are completed in a timely manner.
  • Assists with lighting and mechanical rebate programs and procurement of maintenance supplies as needed.
  • Provides support to the Utilities supervisor with large capital projects as needed.
  • Supports utility maintenance employees.
  • Ensures the worksite is maintained in a safe and orderly fashion.
  • Works cooperatively with other divisional staff and contractors.
  • Provides relief for the Utility Supervisor during absences as needed.
  • Performs other duties as may be assigned to support the department.
Skill and Knowledge – Required
  • Strong organizational and time management skills, with ability to work under pressure, multi-task and prioritize.
  • Strong communications and interpersonal skills with the proven ability to defuse conflict and deal with complaint and concerns effectively and professionally.
  • Ability to exercise tact and diplomacy when dealing with confidential information.
  • Ability to work both independently and in a team environment.
  • Experience in commercial construction, mechanical site coordination or institutional facility management.
  • Experience in managing preventive maintenance.
  • Working knowledge of general commercial practices and techniques.
  • Working knowledge of office computer systems (Excel, Word, Outlook).
  • Working knowledge of maintenance work software.
Skill And Knowledge – Desired
  • Journeyman Status in mechanical trade skills and/or Post Secondary Degree in Facilities Management.
  • Prior experience in an educational environment.
  • Experience in Workplace Safety and Health.
