Job summary

Pembina Trails School Division in Winnipeg, MB is seeking a capable Utilities Coordinator to manage the division’s mechanical and utility equipment, ensuring facilities operate efficiently and safely. You will work with the Utilities Supervisor and facility staff to coordinate maintenance across administrative and school sites.

Reporting to the Utilities Supervisor, this regular full-time role offers an annual salary range of $74,292 to $92,588, dependent on qualifications, with duties including

Qualifications

  • Strong organizational and time management skills with ability to multi-task and prioritize.
  • Strong communications and interpersonal skills with the ability to defuse conflict and address concerns professionally.
  • Ability to exercise tact and diplomacy with confidential information.
  • Ability to work independently and in a team environment.
  • Experience in commercial construction, mechanical site coordination or institutional facility management.
  • Experience in managing preventive maintenance.
  • Working knowledge of general commercial practices and techniques.
  • Working knowledge of office computer systems (Excel, Word, Outlook).
  • Working knowledge of maintenance work software.

Responsibilities

  • Manage Division mechanical and utility equipment across facilities and ensure good working condition.
  • Use the work order system to review and coordinate dispatched tasks.
  • Maintain asset inventory of all utility equipment.
  • Keep records of work performed on mechanical systems.
  • Provide and manage a preventive maintenance schedule with staff.
  • Visit facilities regularly to identify equipment issues and plan replacements.
  • Coordinate with staff on multi-trade tasks for large repairs.
  • Ensure general maintenance and emergency repairs are completed promptly.
  • Assist with lighting and rebate programs and procurement of supplies.
  • Support the Utilities Supervisor on capital projects and with maintenance staff.
  • Ensure safe and orderly worksites and cooperate with other staff and contractors.
  • Provide relief for Utilities Supervisor during absences and perform other duties as needed.

Purpose of Position

Under the direction of the Director - Facilities and Operations, the Utilities Coordinator will work closely with the Utility Supervisor to ensure that the Division's buildings and facilities are maintained in excellent operating condition and that all building systems run efficiently.

Key Responsibilities

Duties include, but are not limited to, the following:

  • Working in conjunction with the Utilities Supervisor, manages the Division’s mechanical and utility equipment in all facilities and ensures they are maintained and in good working condition.
  • Utilizes the Division work order system in reviewing/coordinating dispatched work.
  • Maintains accurate asset inventory of all utility equipment.
  • Maintains records of work performed on mechanical systems.
  • Provides and manages a preventative maintenance schedule and liaises with school staff.
  • Visits all facilities on a regular basis to verify/identify equipment issues.
  • Makes appropriate arrangements or recommendations for system replacements or large repairs.
  • Coordinates with facility maintenance staff when multiple trades are needed for tasks.
  • Ensures that general maintenance work is done and emergency repairs are completed in a timely manner.
  • Assists with lighting and mechanical rebate programs and procurement of maintenance supplies as needed.
  • Provides support to the Utilities supervisor with large capital projects as needed.
  • Supports utility maintenance employees.
  • Ensures the worksite is maintained in a safe and orderly fashion.
  • Works cooperatively with other divisional staff and contractors.
  • Provides relief for the Utility Supervisor during absences as needed.
  • Performs other duties as may be assigned to support the department.
Skills and Qualifications

Skill and Knowledge – Required:

  • Strong organizational and time management skills, with ability to work under pressure, multi-task and prioritize.
  • Strong communications and interpersonal skills with the proven ability to defuse conflict and deal with complaint and concerns effectively and professionally.

Skill and Knowledge – Desired:

  • Journeyman Status in mechanical trade skills and/or Post Secondary Degree in Facilities Management.
  • Prior experience in an educational environment.
  • Experience in Workplace Safety and Health.

Working Conditions & Physical Demands

  • On occasion it may be required to work beyond normal working hours, with little, short or no notice.
