Technical Document Controller

The Technical Document Controller is responsible for developing, coordinating, implementing, and maintaining the company’s Document Control System to specifically support the engineering department. This includes the timely, accurate, and efficient tracking, collection, recording, final editing, and distribution of all procedures in electronic and/or paper copy format, as well as maintaining an archived system to preserve document integrity.

Key Responsibilities

Area 1:

Overall Document Control & System Management

  • Manage the full document lifecycle: creation, review, approval, revision, distribution, and archival of controlled documents.
  • Overall coordination of controlled documentation, with a focus on engineering documents such as Policies and Procedures, Quality Manuals, Standard Operating Procedures (SOPs), Work Instructions, Forms and Templates, Technical Documents (including engineering drawings, specifications, and technical manuals), Compliance Documents, Training Materials, Project Documentation, and Records.
  • Perform Document Control function within the document control system.
  • Support user requests for new documentation, including assistance in the drafting process for engineering documents.
  • Coordinate the assignment and management of new tag numbers for assets and components within the operational system, ensuring proper documentation and control.
  • Maintain quality records as per applicable Standard Operating Procedures.
  • C oordinate Management of Change (MOC) requests and meetings. This includes:
  • Facilitating the documentation aspect of MOCs to ensure all relevant engineering documents, such as work procedures, Piping and Instrumentation Diagrams (P&IDs), and Lockout/Tagout (LOTO) sheets, are identified and updated as per MOC requirements.
  • Tracking the progress of document updates related to MOCs to ensure timely completion and approval.
  • Ensuring that the latest revisions of work procedures, P&IDs, and LOTO sheets, reflecting MOC changes, are readily available to relevant personnel.
  • Perform self-audits of locations and ensure that the current revision is available in a timely manner.
  • Investigate and respond to corrective actions related to Document Control Standards.
  • Assist in supporting internal/external audits, coordinating activities, and ensuring timely response to documentation requests.

Area 2:

Operational Excellence.

  • Provide training and support to team members regarding appropriate document control practices.
  • Provide training to users on the document control system.
  • Identify opportunities for continuous process improvement and commitment to quality assurance.
  • Order external standards and maintains tracking system.

Area 3:

Work collaboratively with others to deliver documentation control.

  • Work with all levels of the organization in a cohesive manner
  • Collaborate with other disciplines to ensure all documentation is processed in a timely manner.
  • Help to promote cross-departmental communication, identifying conflicting priorities, and resolve issues quickly.

Safety & Sustainability Expectations

Work in compliance with company policies, procedures, and health and safety regulations.

  • Actively participate in safety meetings, training, and initiatives
  • Identify and report any unsafe conditions, equipment, or practices to immediate supervisor or relevant personnel.
  • Ensure all controlled documents, especially those related to safety procedures (e.g., LOTO sheets, safe work instructions), are accurate, current, and accessible to authorized personnel.
  • Use and wear the equipment, protective devices or clothing required to safely perform their work.

Scope of Responsibility & Complexity

  • Works independently under general direction, demonstrating a high degree of initiative and independent judgment in fulfilling responsibilities.
  • Outcomes are reviewed in terms of adherence to established policies, accuracy of methods, and overall efficiency of document control processes.
  • This role involves moderately complex work, often requiring the ability to handle multiple assignments and competing priorities simultaneously while maintaining accuracy and meeting deadlines.
  • Problem resolution frequently requires the application of standard procedures, the adaptation of established methods, or the research and application of precedent to unique document control challenges, particularly those related to MOC implementation, tag numbering, and CMMS integration.
  • The document controller is expected to identify potential issues, propose solutions, and escalate complex problems when necessary.
Qualifications

Minimum Requirements and Nice To Haves

  • Post-secondary diploma or degree in a mechanical or electrical-related field.
  • Trade certification considered an asset.

Work experience - Nature & Length

  • A minimum 2 years of document control experience.
  • Experience with electronic document control system is required.
  • Experience in the mining industry is considered an asset.
  • Knowledge and experience with marking, labeling standards and practices is considered an asset.
  • Good written communication skills including document creation, preparation, editing and overall management skills using the Microsoft Office Suite.
  • Highly organized with great attention to detail.
  • Ability to work with minimal supervision, showing initiative and creativity.
  • Good time management and interpersonal skills.
  • Exercises judgement within broadly defined practices and policies in selecting methods, techniques and evaluation criteria for obtaining results.
  • Good computer skills, including working knowledge of MS Office, Adobe and document management software.

Leadership Requirements

No direct leadership requirements.

  • Minimal exposure to disagreeable environment.
  • Work is performed with virtually no exposure to undesirable or disagreeable conditions.
  • Limited effort, resulting in little fatigue.
  • Limited effort required for normal activities such as walking, sitting, standing and moving normally.
