Job description

Do you have a diploma in facility and fleet management? Do you have project management and excellent communication skills? If so, we want you on our Financial Services team!

As the successful candidate reporting to the Manager, Financial Services, you are responsible for overseeing the maintenance and upkeep of the organizations fleet and facilities while advancing opportunities to reduce RDCO greenhouse gas emissions through responsible tangible capital asset management. This position supervises a team that includes mechanics, custodians, and administrative staff.

In Your Role, You Will

  • Supervise the RDCO vehicle fleet program including:
  • Coordinate and maintain the fleet maintenance schedule in accordance with safety standards and industry regulations.
  • Work across portfolios with end-user teams, to support fleet maintenance.
  • Co-create and execute the long-term strategy to optimize the efficiency of fleet use.
  • Update the asset replacement program based on the projected requirements of end-user departments.
  • Ensure adequate insurance coverage, including completing annual renewals, and acting as the primary point of contact with insurance providers regarding coverage and warranty claims.
  • Coordinate acquisitions, dispositions and replacements.
  • Supervise the maintenance of RDCO facilities across multiple end user departments including:
  • In collaboration with other departments, coordinate and track the maintenance of facilities to meet all health, safety and other standards.
  • Manage relationships with external vendors and service providers, to ensure all work completed meets the required standards.
  • Ensure adequate insurance coverage including annual updates to the Statement of Values and act as the primary point of contact with insurance providers regarding coverage and warranty claims.
  • Promptly and efficiently address and resolve any issues or emergencies related to the facilities.
  • Support the financial process including:
  • Work with departments to estimate future costs for replacement, rehabilitation and general maintenance requirements for all assets using industry standard practices.
  • Establish asset replacement timelines and replacement costs for long-term capital planning.
  • Capture and analyze ongoing costs of maintaining the fleet & facilities and support the ongoing training & educational requirements of staff.
  • Support the cost allocation of centralized costs across end-user departments to optimize budgets and manage expenses.
  • Undertakes general administration associated with Fleet and Facilities:
  • Provide input for annual budgets and multi-year plans.
  • Review and approve purchase orders and accounts payable invoices within policy limits.
  • Review and approve payroll time sheets and holiday requests.
  • Mentorship:
  • Foster a positive and collaborative work environment.
  • Support fleet and facilities employees in a mentorship capacity, supporting skill development, expanding perspectives, offering feedback, and providing access to tools and contacts.

You will be an ideal match for this role if you have a diploma in facility and fleet management and a minimum of 3 years of experience in a municipal or civil related field. You will have fleet and facility maintenance experience, knowledge of vehicle fleet management, as well as experience working with computerized accounting systems. It is critical to the success of this role that you have excellent communication skills and the ability to collaborate with other departments to establish and maintain working relationships.

This is an exempt position that has a salary range of $90,000 - $100,000 - $110,000. It is the RDCO's philosophy to pay in the middle of the range for a fully qualified applicant.
