Supervisor, Events (A&E Venues)

Job Status: Permanent Full-Time

Pay & Grade: $83,997 – $104,997 annually, Grade: 9 (under review)

Hours of Work: 35 Hours per week

Initial location: Conrad Centre for the Performing Arts (CCPA)

Posting period: May 8 to June 1, 2025 @ 6:00 p.m.

Overview

Arts & Entertainment is a newly formed division within Economic Development, comprising three units: Arts & Creative Industries, Special Events, and Arts & Entertainment Venues (A&E Venues). The A&E Venues team manages venue operations for City-owned arts and entertainment venues, including the Conrad Centre and Victoria Park Pavilion.

The Supervisor of Events reports to the Director of Arts & Entertainment and acts as the primary contact for event organizers at these venues. The role involves coordinating event execution, working with internal staff and external partners to ensure successful events that enhance community vibrancy and contribute to the city's economic wellbeing.

Responsibilities
  • Provide venue management support to arts organizations, promoters, renters, and event organizers.
  • Oversee and execute events, leading a team to deliver exceptional experiences.
  • Support users through contracting, operations, and event services, managing all event documentation and permits.
  • Maintain professionalism and serve as the main point of contact for artists, vendors, and staff.
  • Manage event timelines, staffing, safety protocols, crowd management, and emergency procedures.
  • Supervise front of house staff, including hiring, training, and performance management.
  • Coordinate event services such as staffing and food/beverage services.
  • Develop relationships with clients to foster repeat business and optimize venue utilization.
  • Track facility usage and financial data, preparing reports for decision-making.
  • Assist with budget planning and propose fee structures aligned with city policies.
  • Ensure compliance with health and safety legislation and promote an inclusive, respectful workplace culture.
  • Support facility-related programs and implement operational improvements.
  • Act as “Manager on Duty” during events, supervising staff and handling escalated issues.
  • Perform other duties as assigned.
Requirements
  • Minimum 3-year degree or diploma in a related field.
  • 4-7 years of experience managing events in arts/entertainment venues.
  • Experience with diverse event types and venue scheduling.
  • Proficiency with event management software and digital ticketing platforms.
  • Leadership experience with staff training and motivation.
  • Strong communication, organizational, and problem-solving skills.
  • Knowledge of AV systems, production schedules, and relevant legislation (e.g., Ontario Health and Safety Act, AODA).
  • Ability to work flexible hours, including evenings, weekends, and holidays.
