Job summary

The Corporation of The Town of Milton is seeking a Supervisor, Business & Support Services to organize administrative support and advance department priorities. You will oversee subsidy programs, customer service, and administration across recreation and culture software, reporting, and budgeting.

The role requires strong leadership, municipal experience, and proficiency with Workday, HRIS, and financial software.

Qualifications

  • Post-secondary diploma in Business, Public Administration, Recreation and Leisure, or related field, or equivalent experience.
  • Minimum of five (5) years of progressive supervisory experience in municipal or recreation environment.
  • Travel between Town facilities; transportation required.
  • Strong communication, interpersonal, and customer service skills.
  • Proficiency in financial transactions and reconciliation.
  • Strong leadership and supervisory skills.

Responsibilities

  • Maintain administrative processes (e.g. payroll, data reporting, cash handling).
  • Provide Workday scheduling/time tracking guidance and training support.
  • Act as liaison to corporate partners for Workday enhancements.
  • Divisional oversight of admin software updates and process improvements.
  • Supervise administration and concessions operations.
  • Ensure optimal customer experience and handle inquiries.
  • Oversee administration of departmental support programs (e.g. subsidies).
  • Generate and analyze KPI metrics to support decisions.
  • Assist with budgeting and staffing needs.

Supervisor Overview

The Supervisor, Business & Support Services is responsible for organizing and coordinating administrative support to advance the service priorities of the Department. The position is accountable for the delivery of subsidy programs, providing direct customer service support, supervising administration and concessions operations, supporting the operation of recreation and culture software applications, developing quarterly and ad-hoc data reporting, and ensuring administrative functions are achieved within prescribed timelines. The position will maintain quality standards in order to support service level expectations and deliver results that are aligned with corporate objectives.

Major Job Responsibilities
  • Maintain administrative processes (e.g. payroll, data reporting, cash handling, etc.)
  • Provide subject matter expertise to departmental staff for Workday-related matters concerning scheduling, time tracking, hiring, training,
  • Act as a liaison to corporate partners through the continued enhancements to Workday and during the implementation of new modules
  • Divisional oversight of operational software systems by supporting development updates, technological enhancements, and process recommendations
  • Supervisory oversight of administration and concessions operations
  • Ensure optimal customer experience through anticipating, managing and resolving concerns, providing attention to customer inquiries, and conducting on-going evaluations of administrative processes
  • Oversee the administration of Departmental support programs (e.g. Financial Assistance and Halton Region subsidies)
  • Generate, maintain and provide analysis of business–related data and KPI metrics in order to support informed decision-making
  • Conduct research for the Recreation and Culture Division that provides analysis and recommendations for programs, market trends and business processes
  • Monitor performance gaps, assess skills and training, and determine recruitment and staffing needs
  • Prepare and recommend applicable annual operating budgets
  • Monitor, manage, and report on the budget to ensure fiscal responsibility and that budget targets and service objectives are being met

Minimum Qualifications

Post-secondary diploma in Business, Public Administration, Recreation and Leisure, or related field, or an equivalent combination of education and experience Minimum of five (5) years of progressive supervisory experience in a municipal or recreation environment Successful candidate will be required to travel between the different Town Facilities. Access to transportation to travel in a timely manner is required. Strong communication, interpersonal, and customer service skills with the ability to deal effectively with the public, staff, and volunteers with an aptitude to manage difficult situations and resolve issues Ability to plan, organize and prioritize multiple responsibilities; work under pressure; and adapt to changing circumstances Proficiency in financial transaction and reconciliation administration with experience in the coordination and administration of subsidy programs Strong leadership and supervisory skills Proficiency in Microsoft Office Suite Proficiency in Recreation Management Software, Human Resource Information Systems (HRIS) and Financial Management Software

Preferred Qualifications

Post-secondary degree in Business, Public Administration, Recreation and Leisure, or related field, or an equivalent combination of education and experience A strong awareness and understanding for the business administration of recreation and culture operations Broad knowledge of municipal government and applicable legislation Knowledge of risk management in a recreational setting Proficiency in various software systems directly associated with the business of recreation and culture (e.g. Xplor Recreation, Workday, TixHub, Omnivex, LiveBarn, and LightSpeed) Knowledge of Customer Relations Management (CRM) software, database software, and customer engagement systems Proficiency in FMW Financial Software
