Job summary

The University of Waterloo is hiring for a permanent, full‑time Academic Advising role in the Faculty of Mathematics’ Undergraduate Office. You will provide frontline student support, triage inquiries, and handle enrollment activities as well as administrative tasks related to teaching activities.

Responsibilities include timetabling, TA coordination, course enrolment, communications, and project leadership within the MUO.

Qualifications

• Education: College diploma or undergraduate degree or equivalent combination of education and experience
• Experience in academic environment with faculty members and students; 1-2 years in frontline customer service
• Experience with reporting and preliminary analysis; ability to manage multiple tasks

Responsibilities

• Provide frontline student-centric support including triage and advising stakeholders
• Assist with enrollment activities and course teaching administration
• Lead and monitor projects related to MUO (Applications/admissions, exams, TA duties, timetabling)
• Manage course enrolment, class schedules, and waitlists; ensure timetables are conflict-free
• Provide administrative support to committees, reports, and events
• Review and reconcile financial statements; coordinate travel arrangements and reimbursements
• Train co-op students and staff in reception responsibilities; maintain records & confidentiality
• Maintain office equipment, space allocation, and supplies
