Student Services & Accommodation Coordinator

Reports to: Student Service Manager

Bayswater Vancouver is looking for an experienced and student-focused Student Services & Accommodation Coordinator to join our team. This role is responsible for supporting students throughout their experience at Bayswater, with a particular focus on homestay and accommodation operations.

The successful candidate will have hands-on experience managing homestay programs, including recruiting and screening host families, conducting home visits, making student placements, monitoring student and host satisfaction, and resolving accommodation concerns and conflicts.

Key Responsibilities

Accommodation & Homestay

• Recruit, interview, screen, and onboard new homestay host families.
• Conduct home visits and accommodation inspections to ensure homes meet Bayswater standards and student needs.
• Maintain accurate and up-to-date host family records, availability, preferences, and documentation.
• Match students with appropriate host families based on student requirements, interests, preferences, and available accommodation.
• Coordinate student arrivals, departures, transfers, extensions, and changes to accommodation.
• Maintain regular communication with host families and students throughout the placement.
• Respond promptly and professionally to accommodation concerns, complaints, and emergencies.
• Mediate and resolve student/host conflicts, using sound judgment and a student-focused approach.
• Monitor the quality of homestay placements and take appropriate action when standards or expectations are not being met.
• Develop and maintain strong relationships with host families to support long-term availability and retention.
• Coordinate with airport transfer providers and other accommodation partners as required.
• Ensure accommodation records and documentation are complete, accurate, and compliant with Bayswater policies.

Student Services

• Provide friendly, professional, and timely support to students throughout their studies.
• Assist students with questions regarding accommodation, transportation, school services, local resources, and general student needs.
• Support student orientation and arrival processes.
• Work closely with Academic, Admissions, Sales, and Operations teams to ensure a smooth student experience.
• Assist with student activities, events, and community engagement initiatives.
• Maintain accurate student records and communicate important updates to relevant departments.
• Handle sensitive student concerns professionally and maintain confidentiality.

Qualifications & Experience

Required:

• Previous professional experience in homestay, student accommodation, international education, student services, or a similar environment.
• Demonstrated experience with:
  • Homestay host recruitment and screening
  • Host family interviews and onboarding
  • Home visits and accommodation inspections
  • Student/host matching and placements
  • Accommodation changes and transfers
  • Conflict resolution and complaint management
  • Supporting students with accommodation-related concerns
• Strong interpersonal and communication skills.
• Excellent organizational and administrative skills.
• Ability to manage multiple student and host requests while meeting deadlines.
• Strong problem-solving skills and sound judgment.
• Ability to work independently while also collaborating effectively with a team.
• Professional, approachable, and culturally sensitive manner.
• Strong attention to detail and accurate record keeping.
• Proficiency with Microsoft Office and the ability to learn student/accommodation management systems.

Preferred:

• Experience working with international students or in an international education environment.
• Experience working with students from diverse cultural backgrounds.
• Experience with accommodation management software or CRM/student information systems.
• Knowledge of the Vancouver housing and homestay market.
• Additional languages are an asset.

Salary Range $43,000-$45,000
