Job summary

UHN Foundation in Toronto, Ontario, is seeking a Stewardship Officer, Recognition, to build meaningful connections with donors and prospects by supporting the stewardship department's recognition program. Qualifications

SALARY RANGE: $70,400 - $75,000 per annum

POSITION SUMMARY

The Stewardship Officer, Recognition is responsible for building meaningful connections with donors and prospects by supporting all aspects of the Stewardship Department’s physical recognition program. The Stewardship Officer, Recognition will engage and inspire donors by acknowledging and recognizing their gifts and demonstrating the impact of their generosity, consistent with best practices in donor relations.

KEY RESPONSIBILITIES
Donor Recognition Coordination & Execution
  • Oversee end-to-end coordination of donor recognition requests within assigned portfolio areas, ensuring timely and accurate delivery
  • Lead the creation of donor recognition materials in alignment with established stewardship guidelines, including:
  • Campaign-specific catalogues and naming hierarchies
  • Design and conceptualization of plaques, lettering, and plaque gallery layouts
  • Monitor and manage the progress of all recognition deliverables using tools such as deliverables summaries, Raiser’s Edge NXT lists, and other project management tools
Stakeholder Engagement & Collaboration
  • Collaborate with fundraising teams to develop tailored recognition options aligned with established stewardship guidelines
  • Liaise with hospital departments to coordinate installation logistics and ensure operational readiness
  • Build and maintain strong relationships with internal and external stakeholders to support recognition initiatives
  • Manage vendor relationships and procurement processes for plaques and signage:
  • Request quotes and drawings, coordinate approvals, place orders, and schedule installations
  • Oversee on-site placement and ensure accuracy and completion of work
  • Coordinate with UHN’s Activity Permit group and Facilities team to meet insurance, WSIB, and site preparation requirements
Systems & Inventory Maintenance
  • Maintain accurate inventory tracking through GiftMap, Raiser’s Edge NXT or equivalent systems
  • Ensure data integrity and accessibility to support recognition planning and reporting
Organizational Alignment
  • Support the Foundation’s strategic plan and uphold its core values of collaboration, accountability, inclusion, and integrity
  • Contribute to continuous improvement in stewardship practices and donor engagement strategies
QUALIFICATIONS & EXPERIENCE
  • A relevant 4-year degree or, a relevant 3-year degree/diploma combined with a professional certification or, an equivalent combination of formal education and relevant experience.
  • 3-5 years of experience working with senior professional fundraising staff and volunteers.
  • A proven track record for managing competing priorities with multiple stakeholders, both external and internal
  • Excellent written and oral communication skills with a strong attention to detail and aptitude for engaging donors
  • Experience building trusted partner relationships with internal stakeholders and external vendors
  • Proven ability to build and sustain strong working relationships with colleagues and key stakeholders as well as work independently (and with ambiguity) to achieve results
  • Proven ability to prioritize, plan and manage projects within established deadlines
  • Highly proficient in the use of all corporate productivity tools including Excel, Word, PowerPoint, SharePoint, Teams
  • Experience in Adobe Creative Suite (InDesign, Illustrator, Photoshop) and/or other design programs preferred
  • Knowledge of Raiser’s Edge NXT or other donor database management systems considered an asset
WORK ENVIRONMENT
  • Fast-paced, service and results oriented environment
  • May have some activity outside of the office to support meetings
  • The Foundation has a hybrid work model. Staff will be required to be in office a minimum of 2 days per week and will be required to have a safe home office set up for the remainder of the working days (specifics to be planned with your manager).
  • Ability to work cooperatively with colleagues in all positions throughout the Foundation
