Job summary

UHN Foundation in Toronto, Ontario, is seeking a Stewardship Officer, Donor Information and Recognition, to manage donor listings and recognition programs within a hybrid work environment.

You will ensure accurate donor data, coordinate with donors, staff and suppliers, and support the annual donor recognition activities including the Main Donor Wall and the Upper Canada Medal program. Strong database skills are essential.

Qualifications

  • A relevant 4-year degree or, a relevant 3-year degree/diploma combined with a professional certification or, an equivalent combination of formal education and relevant experience.
  • Minimum 2 - 4 years relevant work experience, specialization in Raiser’s Edge NXT database management an asset
  • Highly organized, systematic and able to prioritize, schedule and perform complex tasks by their deadline and with minimal supervision
  • Exemplary attention to detail and accuracy with excellent planning, organizational and time management skills
  • Resilient and focused
  • Strong communication (oral and written) skills and ability to communicate in a professional manner
  • Strong strategic aptitude with a demonstrated ability to problem solve, prioritize tasks and handle a diverse range of tasks
  • Resourceful and self-motivated while remaining comfortable collaborating within a framework of a goal-oriented team environment
  • Possess a professional and mature presence with evidence of leadership, sound judgement intuitiveness, tact and diplomacy
  • Computer literacy: Microsoft Word, database software and spreadsheet programs, experience with Raiser’s Edge NXT is essential.
  • Ability to work in a busy and results oriented environment.

Responsibilities

  • Maintaining and updating all donor listings including but not limited to: Main Donor Walls, Fellowship plaques and our Annual Report donor listings
  • Updating all database coding to ensure donors are recognized at the correct giving level and with their preferred donor recognition name
  • Managing processes involved in developing, organizing and maintaining donor listings
  • Liaising with relevant suppliers to ensure the highest quality work within budget constraints
  • Overseeing production & installation of donor walls and plaque listings
  • Ensuring hospital health & safety policies and procedures are followed by suppliers and obtaining all insurance certificates and activity permits for donor recognition installations
  • Determining a donor’s eligibility for each society by using established reports, database queries and research
  • Confirming donor information with the donor manager and preparing and sending Welcome Packages for eligible donors
  • Entering and maintaining all database coding to facilitate accurate mailings lists for timely and personalized donor communications by email or mail
  • Determining a donor’s eligibility to receive an Upper Canada Medal
  • Entering and maintaining all database coding related to Upper Canada Medals
  • Pulling a monthly list of outstanding UCMs for distribution to the Donor Managers
  • Facilitating the ordering of Upper Canada Medals and maintaining the supply of inventory

Position Summary

Under the direction of the Associate Director, Stewardship, the Stewardship Officer, Donor Information and Recognition is responsible for all stewardship activities recognizing the generosity of donors through our Main Donor Wall and Annual Report donor listings. In addition, the Stewardship Officer is responsible for additional elements of our Donor Stewardship Program including, but not limited to, assessing and tracking donor eligibility for our Donor Recognition Societies and our Upper Canada Medal Program.

T

he Stewardship Officer will have a strong background in database coding and management and will communicate directly with colleagues, donors, volunteers, hospital personnel, suppliers and other individuals to manage his/her stewardship responsibilities and accountabilities.

Key Responsibilities
Donor Listings
  • Maintaining and updating all donor listings including but not limited to: Main Donor Walls, Fellowship plaques and our Annual Report donor listings

Work Environment
  • Fast-paced, service and results oriented environment
  • May have some activity outside of the office to support meetings
  • The Foundation has a hybrid work model. Staff will be required to be in office a minimum of 2 days per week and will be required to have a safe home office set up for the remainder of the working days (specifics to be planned with your manager).
  • Ability to work cooperatively with colleagues in all positions throughout the Foundation
  • Shared commitment and support of the overall Foundation goals
