Stakeholder Relations and Event Coordinator

Department: Community Impact Unit: EARN – Employment Accessibility Resource Network/HIO – Hire Immigrants Ottawa Position Status: Full-time, one year contract Level: 2 Salary: $43,750

Position Summary and Responsibilities:

The Employment Accessibility Resource Network (EARN) and Hire Immigrants Ottawa (HIO) are initiatives led by United Way East Ontario (UWEO) that bring together employers, service providers and other stakeholders with the goal of increasing employment opportunities for people with disabilities (EARN) and skilled immigrants (HIO) while working with employers to build their capacity to ensure inclusive and accessible workplaces.

This role will be responsible for the planning, management, and evaluation of a wide range of meetings, workshops and events intended to promote education and awareness of EARN and HIO and the benefits of hiring people with disabilities and immigrants. This will also include working with employer and service provider partners to host learning and networking events, career and recruitment events, and Job Match Calls. Currently most events are virtual but could also be in-person and hybrid. As the role entails so much contact and collaboration with stakeholders, the role includes a significant stakeholder relations component. In addition, this role will also support an HR function through the coordination of job-matching opportunities between employers and our service provider partners who work directly with individuals with disabilities and/or immigrants who are seeking employment.This role will create a framework for and coordinate the distribution of correspondence such as e-newsletters, event invitations, informational and promotional materials. The position will also support the coordination of EARN and HIO committee meetings including the EARN Leadership Group and Steering Committee and HIO’s Working Groups and Employer Council of Champions.

The coordinator oversees all aspects of concurrent assigned projects including setting deadlines, assigning responsibilities to volunteers, monitoring the progress of the event timelines and reporting on project status.

Most activities for this position will be conducted in English, however strong French language abilities in both oral and written communication would be considered an asset, as building stronger relationships with

Francophone and bilingual organizations is important to our work. In your application, please indicate your level of proficiency in French.

This position is based in Ottawa but serves Prescott-Russell, Ottawa, Lanark, and Renfrew Counties. This is a hybrid position.

Qualifications:

Education:

  • Diploma in Communications, Marketing, Human Resources and/or Event management

Experience:

  • Minimum 1 year working in project management, event management and event budget management for a company with high external visibility
  • Experience producing in-person and/or virtual events
  • Minimum 1 year experience facilitating multiple stakeholders in a complex environment
  • Experience dealing with external event suppliers
  • Experience directing and overseeing the production of event-related collateral material, including print and electronic
  • Experience managing volunteers (in the context of events)
  • Experience evaluation programs and making recommendations taking into account evaluation results
  • Experience in a Recruitment or HR role considered an asset

Knowledge, Skills and Abilities:

  • Proven strong project management skills demonstrated through multiple project management roles
  • Exceptional interpersonal skills and ability to project manage internal and external stakeholder groups, including senior management and senior volunteers
  • Extensive experience with virtual event delivery platforms such as Microsoft Teams and Zoom as examples
  • Demonstrated leadership qualities such as conflict resolution and consensus building
  • Excellent relationship building and negotiation skills
  • Strong problem-solving and collaborative skills, ability to manage competing interests and ambiguities
  • Demonstrated time management skills, the ability to direct both activities and resources through tools such as a critical path
  • Ability to be flexible and stay organized, including the proven ability to adapt to a dynamic project environment and manage multiple projects at the same time
  • Event budget management experience. The proven ability to creatively work with limited financial resources
  • Ability to apply communications strategies and propose creative solutions in relation to social media activities such as LinkedIn and Twitter
  • Ability to work in a fast-paced, multi-faceted environment
  • Demonstrated ability to work independently and as part of a team
  • Highly motivated, strong initiative and a ‘get it done’ attitude
  • Results oriented and a keen eye for detail
  • Flexibility and ability to take initiative
  • Ability to exercise good judgment and decision-making often under pressure
  • Experience using Microsoft Office/365, with demonstrated proficiency in PowerPoint and Excel
  • Excellent written communication skills in English
  • The ability to speak and write in French would be considered an asset
  • Experience, skills, or knowledge related to employment for people with disabilities considered an asset
