PRINCIPAL RESPONSIBILITIES:

Invoice Management and Compliance

  1. Oversee the marketing invoice processing cycle to ensure accurate and timely billing and payments
  2. Data entry and system processing: Entering invoice details into marketing system, including vendor information, item descriptions, and pricing
  3. Resolving discrepancies: Investigating and resolving invoice discrepancies with vendors, including amount errors, or missing documentation
  4. Invoice tracking and reporting: Managing comprehensive record of all invoices, including their status (pending, approved, paid), and generating reports on outstanding invoices and payment trends
  5. Compliance: Ensuring adherence to company policies and accounting standards related to invoice processing
  6. Vendor communication: Communicating with vendors to address invoice requests or resolve issues
  7. Identify variance between actual & budgeted financial results at the end of each reporting period
  8. Proactively identify gaps in processes and implement solutions (automation) to improve workflows and execution
  9. Develop and facilitate training and onboarding on financial tools, systems, processes, and governance policies for the Marketing Team and stakeholders

Budget Management

  1. Assist in the preparation and management of the annual marketing budget, ensuring accuracy and alignment with departmental goals
  2. Track expenses, ensuring compliance with allocated budgets and company policies
  3. Monitor budget utilization and reconcile variances, escalating issues when necessary
  4. Take on cross-functional responsibilities as needed, ensuring operational continuity and efficiency across marketing & external teams

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Completion of a Bachelor's degree
  2. Ideal candidate will have 5+ years of experience in the areas of financial management, budget analysis, accounting and/or marketing, or other professional experience performing similar work with an emphasis on financial acumen and process management
  3. Strong analytical skills, proficiency in data analysis, mathematical skills, detail oriented, critical thinking and problem-solving skills
  4. Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word), marketing operational and expense management software (i.e., Smartsheet)
  5. Strong written and verbal skills; ability to summarize the most crucial information
  6. Exceptional ability to manage multiple projects, prioritize deadlines, and drive execution
  7. Excellent communication abilities to interact with and share key financial information with teammates and business stakeholders
  8. Be a team player yet be able to think and work independently
