Job summary

Nav Canada in Hamilton, Ontario is seeking a Shift Scheduling Specialist (Temporary 12-months) to lead the creation and adjustment of staff schedules for our FIR operations. You will ensure coverage aligns with training, regulatory requirements and publishing deadlines, while optimizing resources in collaboration with the Central Canada team.

The ideal candidate has 3+ years in employee scheduling, excels with Word/Excel and scheduling systems, and can work in a hybrid environment with on-site

Qualifications

• 3+ years of experience in employee scheduling.
• Experience providing administrative or operations support.
• Experience with Word and Excel and data manipulation/reporting.

Responsibilities

• Plans, creates and reviews employee schedules in a complex environment to meet operational needs and deadlines.
• Ensures schedules comply with collective agreements, Labour Code and applicable directives.
• Monitors schedules, adjusts for overtime with manager approval, and communicates changes.
• Maintains an overtime list with equal distribution per contract agreements.
• Verifies data between sign-in and scheduling system, ensuring accuracy.
• Generates cost-effective options for new scheduling cycles.

Reporting to the Manager, Shift Optimization, this role is the focal point for preparing, adapting, establishing and maintaining critical coverage for our operation. With the manager approval, makes necessary adjustments to schedules by calling employees for overtime coverage to ensure that all operational needs are met and / or notifying employees of changes made in a timely, cost-efficient manner.* Establishes and maintains a current employee overtime list and provides equal distribution of overtime among employees as per specified contract agreements, while ensuring CLC hours are not exceeded.* Performs daily close-day verification (iSIGN report), to validate data accuracy between the sign-in sheet (iSIGN report) and the Employee Scheduling System, while adhering to the applicable collective agreement(s), Canadian Labor Code, as well as other governing directives and regulations which may apply.* Prepares and provides cost effective options that minimize impact to the ATS operations when generating new cycles for employees.**Job Requirements****Education:*** Successful completion of secondary school or an approved equivalent.**Experience:*** 3 or more years of experience in employee scheduling.* Experience in providing administrative or operations support.* Experience in the use of office computer software applications and data manipulation and reporting tools such as Word and Excel.**Knowledge:*** The work requires considerable knowledge of automated scheduling tools (Employee Scheduling System) and of various software applications (Microsoft Outlook, Word, Excel, and Power Point) as well as the intricacies involved in shift scheduling as it applies to the ATS environment.* Knowledge of collective agreements, CLC guidelines and regulations as well as corporate policies and / or guidelines, administrative policies, practices and procedures.* Knowledge of the Air Traffic Services environment and experience in coordinating and providing administrative support services in an operational environment.* Knowledge of HR automated pay and leave systems and their interaction with the Employee Scheduling System.**Abilities:*** Ability to perform scheduling tasks in telework or flexible work environment.* Ability to work autonomously and support a virtual team.* Ability to multitask and work under pressure to meet deadlines.* Ability to prioritize work tasks.* Ability to provide advice to management and represented employees.**Personal Suitability:*** Proven problem-solving skills with the ability to formulate creative ideas and solutions.* Active listener and clear communicator.* Good organization skills.* Attention to detail.* Negotiation skills.* Adaptable to quickly changing requirements.* Demonstrates professionalism and tact within team and with all stakeholders.* Team player.**Working conditions:*** Shift work required **Flexible work arrangements:*** This position is a hybrid position with a minimum – 3 days per week on site.
