We are currently seeking a highly organized and detail-oriented Service Coordinator to join our team. In this role, you will play a key part in coordinating the administrative and operational processes that support major equipment repairs and maintenance activities, ensuring jobs move efficiently from initiation through to invoicing and closure. Job Description

What You'll Do

Service Planning & Initiation
  • Coordinate the setup and administration of Maintenance Customer Orders (MCOs) and work orders.
  • Review service requests to ensure accuracy and completeness before processing.
  • Verify customer information, credit approvals, service history, warranty considerations, and applicable programs.
  • Support service scope, budget, and scheduling alignment through proper documentation and system updates.
  • Identify and communicate potential risks or concerns that could impact repair execution or customer outcomes.
  • Maintain accurate documentation and records throughout the service lifecycle.
Service Process Coordination
  • Support Repair Planners and Service Supervisors throughout repair execution.
  • Monitor job progress and ensure information is accurately maintained across internal systems.
  • Coordinate warranty, goodwill, and administrative processes from initiation through invoicing.
  • Schedule and support pre-job, mid-job, and post-job review meetings.
  • Track action items, update commitment dates, and communicate risks related to timelines, budgets, or rework requirements.
  • Coordinate transportation arrangements, third-party contractors, and required documentation.
  • Assist with technician site access requirements, training credentials, and clearance documentation.
Customer & Stakeholder Support
  • Provide timely communication to customers and internal stakeholders regarding job status and progress.
  • Respond to service, warranty, production, and operational inquiries.
  • Support cross-functional teams to ensure service work progresses efficiently.
  • Participate in meetings and collaborate with stakeholders to resolve issues and remove barriers.
MCO Closure & Invoicing
  • Review completed jobs to ensure all required documentation has been received and is accurate.
  • Coordinate final warranty, billing, and invoicing requirements.
  • Follow up on outstanding items to support timely job closure.
  • Maintain documentation quality standards and identify any deficiencies requiring correction.
  • Assist in driving process efficiency and reducing delays to invoicing.

2 to 4 years of experience in a coordination, project administration, service administration, dealership, construction, oil and gas, forestry, mining, marine, or field service environment.

Experience supporting projects, service operations, maintenance activities, or customer-facing coordination functions is considered an asset.

Experience working in environments requiring strong documentation control, scheduling, and stakeholder communication.

Education

Secondary education with training or coursework in business administration, project coordination, accounting, finance, or a related field.

Post-secondary education is considered an asset.

Preferred Qualifications
  • Knowledge of equipment maintenance, parts, repair processes, or heavy equipment service operations.
  • Understanding of warranty and billing processes.
  • Familiarity with project management principles including scope, schedule, risk, budget, and stakeholder management.
  • Experience working with Salesforce or similar service management systems is an asset.
