Busch Vacuum Technics Inc. is currently looking for a SERVICE COORDINATOR to join our team in Calgary. The individual will be responsible for the coordination of activities and all documentation related to the field service.

MAIN RESPONSIBILITIES OF THE POSITION :

  • Coordinate and schedule with customers the visits of external technicians in the Alberta and Saskatchewan territories, according to the availability of technicians.
  • Prepare submissions for service calls and internal repairs, enter data provided by technicians to complete work orders and open and close work orders.
  • Follow up on parts (requisition, inventory transfers) for the execution of internal repairs and service calls.
  • Maintain and file all documents related to the service department : work orders, submissions, cost calculations, etc.
  • Write / transmit selected departmental communications and reports.
  • Promote and encourage a positive attitude for all team members.
  • Contact customers to organize shipment of equipment and / or collect purchase orders.
  • Look over rental pumps : shipping and receiving procedure, inventory adjustments, customer follow-ups, invoicing.
  • Obtain and file safety information on customer equipment returning for repair.
  • Assist in building management, complete requisitions, and communicate with contractors.
  • Assist the supervisor in the stand-up meetings with service technicians.
  • Carry out any other tasks and take on any other responsibilities that the immediate supervisor may assign on occasion.

JOB REQUIREMENTS :

  • Diploma of Vocational Studies (DVS) in secretarial or office automation.
  • 3 to 5 years experience in a similar position or in customer service.
  • 3 to 5 years experience coordinating a service or technical team.
  • Coordinating a service or technical team : 3 years (required).
  • CRM : 1 year (required).
  • SAP : 1 year (preferred).
  • Microsoft Excel : 5 years (required).

SKILLS :

  • Ability to work with a computer and fluency with Office Suite. Knowledge of CRM is an asset.
  • Performing multiple tasks simultaneously.
  • Demonstrate good judgment, initiative, teamwork, and autonomy as well as a sense of responsibility.
