The location in Montreal, (Quebec, Canada), is seeking talent to fill the position of Senior Specialist, Payroll. This job is full-time permanent.

The payroll group has as a mission to manage the payroll operations within a timeframe, conform to the fiscal rules and regulations in addition to the policies and procedures of the company.

Reporting to the Manager, Payroll, the Senior Specialist, Payroll is primarily responsible for the more complex tasks related to payroll for various entities’ employees and for ensuring that everything is delivered according to all legal and internal deadlines. You will validate the completeness and compliance of entries made by the payroll coordinators. You will also ensure that procedures, payroll policies and conventional standards comply with Domtar rules and applicable government, state, legislative and fiscal regulations currently in force. Furthermore, you will serve as an expert for all payroll requests.

Job Responsibilities/Accountabilities:

  • Provide support to the payroll team to ensure payroll services are delivered in a timely, efficient and compliant manner;
  • Perform a double validation of Canadian and U.S. payroll production activities within the required time frames, in accordance with applicable government, state, legislative and fiscal regulations, and with union contractual standards and internal processes and procedures;
  • Oversee payroll production for executives and management committee members to ensure the accuracy of all payments and the timely distribution of change notifications (STIP, LTIP, shares, taxable benefits, and so on);
  • Reconcile and prepare payments to third parties such as remittances to gouvernents, agencies and institutions concerned);
  • Prepare monthly reports and accounting reconciliations;
  • Actively maintain current knowledge of payroll legislation and regulations, union contracts and general ledger classifications;
  • Respond to internal and external client requests;
  • Assist departments in applying and maintaining policies, standards, collective agreements and management procedures, ensuring their compliance with legal obligations and government regulations;
  • Participate in year-end activities for Canadian and U.S. payroll, ensuring compliance with processes and deadlines;
  • Participate in the integration, testing and implementation of enhancements , interfaces and updates to payroll and time systems for legislative or fiscal reasons;
  • In the absence of payroll coordinators and/ or when required perform Canadian and U.S. payroll production activities within the required time frames, in accordance with applicable government, state, legislative and fiscal regulations, and with union contractual standards and internal processes and procedures;
  • Participate in various projects, as required.

Professional Experience/Qualifications:

  • College diploma in administration, accounting, finance, or a related field;
  • Certification as payroll administrator by the CPA or APA (a major asset);
  • At least five (5) years of experience in payroll (handling the Canadian and/or U.S. payroll process from start to finish, including year-end payroll production);
  • Experience with major payroll software and knowledge of the SAP system (an asset);
  • Expert knowledge of the Canadian and/or U.S. payroll field, and capacity to proactively investigate and resolve payroll issues;
  • In-depth knowledge of payroll-related legislative rules;
  • Proficiency with Microsoft Office, and advanced knowledge of Excel in particular;
  • Fluency in English and French, both oral and written.
